Role Summary:

The Admin & Facilities Executive will be responsible for managing office administration, asset management, facilities, procurement, compliance, and employee support functions. The role is critical to ensuring smooth day-to-day office operations, effective cost control, and a safe, well-maintained, and productive workplace environment.

Key Responsibilities:

1. Asset Management

- Maintain an updated register of IT and Non-IT assets.
- Track asset allocation, movement, transfers, and returns.
- Ensure proper documentation for asset issuance and return.
- Coordinate repairs and monitor AMC coverage for ACs, laptops, printers, and other office equipment.
- Conduct periodic asset verification and audits.

2. Office Administration & Facilities Management

- Manage day-to-day office administration activities.
- Supervise housekeeping, security, and facility support staff.
- Ensure office cleanliness, hygiene, and operational readiness.
- Manage pantry operations and office consumables.
- Monitor essential utilities and amenities including internet, electricity, water supply, air conditioning, seating arrangements, meeting rooms, and DG diesel availability.
- Ensure uninterrupted availability of all office services.

3. Procurement & Vendor Management

- Procure office supplies, furniture, equipment, and other administrative requirements.
- Maintain vendor database, contracts, and service records.
- Obtain competitive quotations and negotiate pricing to ensure cost efficiency.
- Monitor vendor performance and service quality.

4. Compliance & Documentation

- Maintain all administration-related records and documentation.




- Ensure compliance with organizational policies and statutory requirements.
- Support internal and external audits by maintaining accurate documentation.

5. Employee Support & Coordination

- Handle employee administration-related requests.
- Coordinate onboarding activities, including workstation setup, ID cards, seating allocation, and asset assignment.
- Ensure smooth induction and operational readiness for current employees.
- Resolve employee queries promptly.

6. Cost Control & Budget Management

- Monitor administrative and operational expenses.
- Optimize costs while maintaining service quality.
- Track budget versus actual expenditures.
- Maintain petty cash records with supporting invoices and receipts.
- Submit monthly petty cash reports to the Accounts Department.

KPIs & Performance Targets:

- 100% accuracy in asset records with zero untracked assets.
- Asset allocation within 2448 hours.
- Quarterly asset audits with no discrepancies.
- Zero major administration-related complaints.
- 100% uptime for internet connectivity and power backup.
- Service Level Agreement (SLA) adherence:
- Internet issues: Resolution within 2 hours
- Electrical & AC issues: Resolution within 24 hours

- No shortage of essential office supplies.
- Office to remain audit-ready at all times.




- Employee satisfaction score of 90% or above.
- Minimum 23 vendor quotations for every purchase.
- Vendor SLA adherence of 95% or above.
- 100% documentation accuracy with zero compliance deviations.
- Employee administration requests resolved within 24 hours.
- Smooth onboarding experience for all new joiners.
- Administrative expenses maintained within the approved budget.
- Monthly expense reports submitted with 100% accuracy.

Measurement Criteria:

- Asset registers, movement logs, and audit reports.
- Complaint logs and SLA tracking reports.
- Purchase records, vendor evaluations, and comparative statements.
- Documentation reviews and audit findings.
- Employee request logs and feedback surveys.
- Budget reports and expense tracking sheets.

Required Skills & Qualifications:

- Graduate in any discipline.
- 24 years of experience in Administration, Facilities, or Office Management.
- Strong coordination, communication, and vendor management skills.
- Good working knowledge of MS Excel and Google Sheets for tracking and reporting.
- Excellent organizational skills and attention to detail.
- Ability to prioritize multiple tasks and work efficiently under tight timelines.
- Proactive, responsible, and capable of handling diverse administrative responsibilities independently.
