Position Overview:
The Officer, People Operations will play a key role in strengthening the employee experience and ensuring efficient delivery of People Operations functions across the organization. The position will report to Sr. Manager, People Operations and primarily lead Learning Development initiatives, including employee orientation and capability-building programs, while driving employee engagement activities that foster a positive and inclusive workplace culture. The role will also support recruitment processes and oversee core HR operations such as payroll coordination, statutory compliance, contract renewals, audits, performance management, promotions, policy administration, annual planning and budgeting, and support to state offices. Working closely with internal stakeholders, the Officer will contribute to building effective people practices, enhancing organizational culture, and ensuring smooth execution of people-related processes. The following duties are exemplary of the type of tasks that may be assigned at the discretion of the Director and Senior Manager, People Operations.
Responsibilities:
Learning Development (40%)
- Coordinate and support the implementation of organization-wide learning and development initiatives.
- Manage the annual learning calendar and ensure timely execution of trainings and workshops.
- Coordinate onboarding and orientation programs for current employees.
- Work with internal and external facilitators to organize learning programs.
- Maintain training records, learning reports, and participation data.
- Support the implementation of leadership development and capability-building initiatives.
- Conduct training needs assessments and support preparation of annual learning plans.
- Track learning budgets and evaluate effectiveness of training interventions.
Employee Engagement (30%)
- Plan and execute employee engagement initiatives aimed at strengthening organizational culture and employee experience.
- Coordinate employee recognition programs, wellness initiatives, and celebrations.
- Support employee surveys and analyze feedback to identify areas for improvement.
- Facilitate communication initiatives and employee connect sessions.
- Assist in implementing diversity, equity, inclusion, and wellbeing initiatives.
- Support activities related to Great Place to Work and other employee experience initiatives.
Recruitment Support (10%)
- Coordinate end-to-end recruitment processes for assigned positions.
- Support sourcing, interview scheduling, candidate communication, and onboarding activities.
- Ensure a positive candidate experience throughout the recruitment process.
People Operations and Team Management (20%)
- Supervise and guide People Operations team members to ensure timely execution of HR processes.
- Oversee payroll inputs and coordinate with payroll partners for accurate and timely salary processing.
- Ensure statutory compliance and support internal and external audits.
- Track employee contracts and ensure timely renewals.
- Support state offices employees on any HR matters and ensure adherence to organizational policies.
- Coordinate annual workforce planning and budgeting exercises.
- Support the review and updating of the Employee Handbook and HR policies.
- Coordinate performance management processes, including goal setting, mid-year reviews, and annual performance cycles.
- Support promotion and compensation review processes.
- Coordinate and facilitate employee orientation and induction programs to ensure smooth onboarding and integration of new employees into the organization.
- Maintain HR dashboards, reports, and employee records.
- Ensure smooth implementation of HR systems and process improvements.
