Chartered Accountant - Finance, MIS, Claims, Receivables & Compliance

1. Position Overview

Position Title - Finanace Analyst - Finance, MIS & Compliance

Business - Automobile Dealership Operations

DepartmentFinance & Accounts

Reporting To - Finance Lead

Location - Chennai

Experience - Qualified CA; 0 to 3 years post-qualification experience preferred

Purpose of Hiring To strengthen MIS, claims control, receivables, inventory control, statutory compliance, monthly financial closing and support for Budgetary control

2. Role Purpose
The Chartered Accountant will be responsible for strengthening the finance, reporting, compliance, and control function of the car dealership business. The role requires hands-on ownership of MIS reports, OEM/dealer claims, receivables, stock ageing, statutory compliance, monthly financial preparation, audit support and finalization of Statutory financials, and business analysis across new cars, service, spares, used cars, demo cars, accessories, insurance, finance, and other dealership revenue streams.

3. Key Responsibilities
A. MIS Reporting & Business Analysis

- Prepare daily, weekly, and monthly MIS reports for management review.
- Track revenue, gross profit, contribution, expenses, and profitability by branch, department, model, and business vertical.
- Prepare budget vs actual reports and highlight major variances with reasons and corrective action points.
- Develop dashboards covering sales, service, spares, used cars, stock, receivables, claims, and compliance.
- Prepare exception reports for negative margins, overdue receivables, high stock ageing, abnormal expenses, and unreconciled balances.
- Provide clear observations and actionable business insights instead of only data reporting.

B. OEM Claims, Incentives & Dealer Support

- Maintain a complete tracker for OEM claims, incentives, sales target bonus, demo support, warranty claims, free service claims, corporate/exchange/finance scheme support, and marketing support.
- Verify eligibility as per OEM circulars, scheme documents, and internal sales records.
- Ensure timely submission of claims with proper supporting documents.
- Monitor claim receivables, rejections, deductions, and disputed items.
- Reconcile claim receivables with OEM statements and books of accounts.




- Ensure proper accrual and accounting of eligible claims on a monthly basis.

C. Receivables Management

- Prepare receivable ageing reports for customers, OEM, insurance companies, finance companies, corporate customers, vendors, and group companies.
- Review overdue balances and coordinate with sales, service, insurance, and branch teams for collection.
- Identify doubtful receivables and recommend provisioning or write-off after proper review.
- Reconcile customer, OEM, vendor, and inter-branch balances on a periodic basis.
- Escalate long-pending and high-value receivables with a clear action plan.

D. Stock Ageing & Inventory Control

- Monitor stock ageing of recent vehicles, demo vehicles, used cars, spare parts, accessories, WIP, and stock in transit.
- Prepare ageing reports with interest cost impact, risk classification, and action points.
- Highlight slow-moving, non-moving, excess, or obsolete stock items.
- Review demo cars due for de-fleeting and monitor policy compliance.
- Support physical stock verification, book stock reconciliation, and stock audit requirements.
- Review requirement for provisions against old stock, used car losses, or obsolete inventory.

E. Statutory Compliance

- Coordinate and monitor GST, TDS/TCS, income tax, PF, ESI, and MSME reporting requirements.
- Review GST input credit, output tax liability, and reconciliation between books and returns.
- Ensure timely TDS/TCS deduction, payment, return filing, and reconciliation.
- Support tax audit, statutory audit, GST queries, assessments, and departmental notices.
- Ensure proper vendor statutory documentation, including PAN, GST, MSME status, and TDS details.

F. Financial Preparation & Monthly Closing

- Support monthly book closure and preparation of management financials.
- Review trial balance, ledgers, provisions, prepaid expenses, accruals, depreciation, and bank reconciliations.
- Prepare P&L; schedules, balance sheet schedules, variance analysis,



and audit schedules.
- Monitor inter-branch, inter-company, customer, vendor, bank, and control account reconciliations.
- Ensure accuracy, completeness, and timely preparation of financial statements and supporting schedules.

G. Internal Controls & Process Improvement

- Review financial controls over vehicle sales, service billing, spare parts, collections, vendor payments, and OEM claim documentation.
- Check adherence to approval matrix, credit policy, documentation process, and delegation of authority.
- Identify process gaps, leakage points, reconciliation issues, and compliance risks.
- Suggest practical improvements to reduce delays, revenue leakage, interest cost, and audit observations.
- Support implementation of structured trackers, review mechanisms, and control reports.

H. Audit Support

- Coordinate with statutory auditors, internal auditors, tax auditors, GST consultants, stock auditors, OEM auditors, and banks.
- Prepare audit schedules, reconciliations, supporting documents, and management explanations.
- Track audit observations and coordinate closure with responsible teams.
- Ensure documentation discipline for audit trail and future reference.

4.Qualification & Experience

- Qualified Chartered Accountant.
- 0 to 3 years of post-qualification experience preferred
- Experience in automobile dealership, retail, trading, distribution, or multi-branch business will be an added advantage.
- Good knowledge of accounting standards, GST, TDS/TCS, statutory compliance, financial closing, and audit documentation.

5.Required Skills & Competencies

- Strong analytical ability and business interpretation skills.
- Advanced Excel skills; ability to prepare dashboards, trackers, ageing reports, and reconciliations.
- Working knowledge of DMS / accounting software.
- Good communication and coordination skills with cross-functional teams.
- Strong follow-up, documentation, and ownership mindset.
- Attention to detail with ability to identify errors, exceptions, and control gaps.
- Practical finance mindset with focus on business support, risk control, and timely reporting.
- Branch-wise profitability and department-wise performance reporting.
