- Order Management / Fulfillment Specialist

Role Overview

- We are seeking an experienced and detail-oriented Order Management Specialist to oversee the end-to-end lifecycle of our diamond and fine jewellery orders.
- You will serve as the critical bridge between the sales team, production units, CAD designers, and logistics providers to ensure our high-value pieces are delivered flawlessly and on time.

Key Responsibilities

- Order Processing & Quoting: Calculate accurate cost quotations and process incoming customer orders within defined turnaround times (TATs).
- CAD & Customization Management: Raise CAD requests, review design files with the production team to align with client expectations, and track approvals to prevent rework.
- Production Coordination: Liaise directly with goldsmiths, diamond sorters, and quality control (QC) teams to monitor manufacturing milestones and resolve any bottlenecks.
- Logistics & Dispatch: Coordinate secure shipments, track packages globally, and ensure proper documentation (like diamond certificates and insurance) is included.




- Client Communication: Keep internal stakeholders or end-consumers informed with accurate ETAs and promptly handle order-related inquiries.
- Data & Inventory Management: Maintain accurate logs of orders, inventory levels, and vendor interactions using order management systems (e.g., Jewelflow) and Excel.

Qualifications & Requirements

- Experience: 3+ years of hands-on experience in operations, supply chain, or order management, ideally within the luxury, diamond, or jewellery industry.
- Technical Skills: Proficiency in advanced Excel/Google Sheets; familiarity with ERP software and CAD file management.
- Product Knowledge: A solid foundational understanding of diamond grading (4Cs), precious metals, and jewellery manufacturing processes.
- Soft Skills: Exceptional multitasking ability, high attention to detail for handling high-ticket items, and strong communication skills.
