Job Description Deputy Manager Hospitality (Head Office Operations Planning) Role Summary

The Deputy Manager Hospitality will be based at the Head Office and will be responsible for planning, coordinating, initiating, and monitoring hospitality operations, upcoming projects, operational systems, and execution activities across Slow Down Place and associated hospitality businesses.

The role will act as a central coordination point between operations, projects, consultants, vendors, branding, procurement, CRM, OFS, and community teams to ensure smooth implementation and operational readiness.

Key Responsibilities Operational Planning Coordination

- Coordinate daily operational planning activities from Head Office.
- Monitor execution timelines across hospitality projects and outlets.
- Track operational readiness for restaurants, retreats, caf s, and wellness spaces.
- Coordinate between communities and support departments for smooth execution.
- Support implementation of operational SOPs and standards.

Project Pre-Opening Coordination
- Coordinate pre-opening activities for upcoming hospitality projects.
- Follow up with consultants, architects, MEP teams, vendors, and procurement teams.
- Track project progress, timelines, and execution requirements.
- Support setup planning for kitchens, dining areas, wellness spaces, and caf s.
- Ensure operational readiness before launches.

Vendor Procurement Coordination
- Coordinate with vendors for quotations, deliveries, and operational requirements.
- Support kitchen equipment, furniture, CCG, and operational procurement planning.
- Monitor vendor timelines and escalation follow-ups.
- Maintain vendor coordination trackers and comparison sheets.

Documentation Systems
- Prepare operational reports, SOPs, trackers, and planning documents.
- Maintain project documentation and operational records.
- Coordinate preparation of business plans, budgets, and operational models.
- Support implementation of CRM and operational systems.





Hospitality Guest Experience Planning
- Support development of guest experience standards and service frameworks.
- Coordinate planning for elderly-first hospitality initiatives.
- Support activity planning, events, and community engagement programs.
- Monitor service consistency and operational standards.

Team Coordination Communication
- Coordinate with operations teams across all locations.
- Support manpower planning and deployment coordination.
- Follow up on departmental action items and operational tasks.
- Conduct operational reviews and coordination meetings.

Marketing Activation Support
- Coordinate with branding and marketing teams for operational requirements.
- Support hospitality activations, launches, and event planning.
- Assist in planning promotions and customer engagement activities.

Reporting Monitoring
- Prepare management review reports and progress trackers.
- Monitor operational KPIs and escalation points.
- Track project timelines and pending activities.
- Provide regular updates to management on execution status.
