Job Description:

We are looking for a dynamic and patient-centric professional to manage patient services, centre operations, documentation, HR coordination, and compliance activities at our IVF & Fertility Centre. The candidate will be responsible for ensuring a seamless patient journey, maintaining operational excellence, supporting business growth initiatives, and ensuring adherence to quality and regulatory standards.

Key Responsibilities

Patient Services & Care Coordination

- Ensure a smooth patient lifecycle and deliver exceptional patient experience.
- Welcome patients and visitors, manage appointments, and address inquiries efficiently.
- Monitor patient flow and waiting times while maintaining service quality.
- Ensure seamless movement of patient files from registration to checkout.
- Counsel patients regarding consultations, registrations, and fertility treatment options.
- Ensure patients adhere to PCPNDT-related appointments and documentation requirements.
- Provide patient support and assistance during emergency situations whenever required.

Documentation & Records Management

- Maintain accurate daily, weekly, and monthly MIS reports including patient footfall, consultations, registrations, files, and treatment data.
- Ensure confidentiality, accuracy, and security of patient records.
- Coordinate completion of missing medical records and documentation.
- Retrieve patient-related information from the system as and when required.
- Ensure compliance with healthcare documentation and record management standards.

HR & Administrative Coordination

- Facilitate onboarding and induction of new employees at the centre.
- Maintain and update employee documentation and records.




- Coordinate centre-level HR activities and employee-related queries.

Centre Operations & Business Support

- Support initiatives to increase patient footfall and improve conversion ratios.
- Coordinate with the marketing team for awareness programs and promotional activities.
- Collaborate with internal teams to achieve centre objectives and service excellence.
- Ensure compliance with SOPs, PCPNDT guidelines, and organizational policies.
- Maintain a safe, clean, and patient-friendly environment.
- Ensure patient privacy, dignity, and confidentiality at all times.
- Participate in quality improvement initiatives, audits, trainings, and emergency drills.

Desired Candidate Profile

- 2-6 years of experience in IVF, Fertility, Hospital Operations, Patient Services, Healthcare Administration, Clinical Coordination, or Healthcare Operations.
- Robust patient counselling and relationship management skills.
- Experience in centre operations, documentation, and compliance management.
- Good communication, interpersonal, and coordination skills.
- Proficiency in MS Office and healthcare management systems.
