About the Role
We are seeking a meticulous and detail-oriented Construction Document Controller to join our construction project team. As a Document Controller, you will be responsible for the organization, maintenance, and control of all construction project documents, ensuring accuracy, accessibility, and compliance with relevant regulations and project requirements. Your exceptional organizational skills, keen attention to detail, and ability to manage multiple tasks simultaneously will be critical to the success of our construction projects.
Responsibilities
- Oversee the complete life cycle of construction project documents, including creation, distribution, tracking, and archiving.
- Conduct thorough reviews of construction documents, including drawings, specifications, contracts, and other project-related documentation, to ensure accuracy, consistency, and adherence to established standards.
- Maintain and update document control systems to ensure the most recent versions of documents are readily available to the project team while ensuring previous versions are properly archived.
- Facilitate the efficient distribution of documents to appropriate stakeholders, ensuring timely access to the required information.
- Establish and maintain a comprehensive filing and retrieval system to enable quick and accurate retrieval of project documents as needed.
- Perform regular audits of project documentation to ensure compliance with project requirements, industry standards, and regulatory guidelines.
- Manage electronic and physical document repositories, ensuring proper categorization, labeling, and indexing of documents for easy retrieval.
- Collaborate with project team members, including architects, engineers, contractors, and subcontractors, to address document-related inquiries and resolve issues promptly.
- Maintain accurate and up-to-date records of project-related correspondence, transmittals, requests for information (RFIs), and change orders.
- Provide guidance and training to project team members on document control procedures, systems, and best practices.
Qualifications
- Any graduate or diploma or equivalent is required. Additional certification or training in document control or construction management is preferred.
- Minimum of 2-3 years of experience in a similar role, preferably in the construction industry or a related field.
Required Skills
- Familiarity with construction documents, including drawings, specifications, contracts, RFIs, and change orders.
- Exceptional organizational and time management skills with the ability to handle multiple tasks and prioritize effectively.
- Proficient in using document control software, project management software, and Microsoft Office Suite (Word, Excel, Power Point).
- Robust attention to detail and accuracy, ensuring the completeness and correctness of all project documents.
- Strong problem-solving skills to identify issues, propose solutions, and resolve document-related challenges promptly.
- Excellent verbal and written communication skills to collaborate effectively with project team members and stakeholders.
- Demonstrated integrity and discretion in handling sensitive and confidential information.
