Position Summary
The Facilities, Logistics & Administrative Support Executive is responsible for the smooth functioning of the school's facilities, infrastructure, housekeeping, inventory, logistics, transportation coordination, vendor management, and administrative operations.
This role requires a highly organised individual who can anticipate operational needs, manage multiple responsibilities simultaneously, and ensure that all support functions contribute to a secure and efficient learning environment.
Key ResponsibilitiesFacilities & Infrastructure Management
- Ensure classrooms, therapy rooms, offices, and common areas remain clean, safe, and operational.
- Conduct routine inspections of school facilities and identify maintenance requirements.
- Coordinate preventive and corrective maintenance activities.
- Report and escalate infrastructure or safety concerns promptly.
- Ensure all facilities are maintained in accordance with organisational standards.
Housekeeping & Maintenance
- Supervise housekeeping staff and monitor daily cleaning activities.
- Ensure cleaning schedules are consistently followed.
- Maintain high standards of hygiene and cleanliness throughout the campus.
- Conduct periodic quality checks and provide feedback to housekeeping personnel.
- Track completion of maintenance and housekeeping tasks.
Vendor Management & Logistics
- Coordinate with external vendors including electricians, plumbers, carpenters, technicians, and service providers.
- Obtain quotations, schedule services, and follow up until completion.
- Maintain updated vendor records and service histories.
- Coordinate procurement and delivery of operational supplies and equipment.
- Ensure timely completion of repair and maintenance work.
Inventory Management
- Maintain accurate inventory records for teaching materials, equipment, furniture, stationery, housekeeping supplies, and consumables.
- Monitor stock levels and initiate replenishment requests when required.
- Organise storage spaces for effective inventory management.
- Conduct regular stock verification and periodic inventory audits.
- Track the movement and utilisation of school assets.
Transportation & Operational Logistics
- Coordinate school transportation requirements for students, staff, and materials when required.
- Support logistical arrangements for school events, programmes, workshops, and activities.
- Ensure smooth coordination of operational requirements across departments.
- Assist in movement of materials between school locations whenever necessary.
Administrative Support
- Maintain organised documentation and filing systems.
- Support attendance records and administrative documentation.
- Handle printing, photocopying, scanning, and routine office paperwork.
- Maintain maintenance logs, inventory records, and operational reports.
- Provide administrative support to ensure uninterrupted daily operations.

Qualifications & Experience
Essential
- Graduate or Diploma in any discipline.
- 2–5 years of experience in Administration, Facilities Management, Logistics, Operations, or Office Administration.
Preferred
- Prior experience in schools, hospitals, NGOs, educational institutions, or healthcare settings.
- Experience in vendor coordination and inventory management.
- Comfortable travelling locally for operational requirements when needed.
