Key Responsibilities

- Manage the day-to-day procurement activities for all hotel departments, including Food & Beverage, Housekeeping, Engineering, Front Office, Spa, and Administration.
- Source quality products and services from approved vendors while ensuring competitive pricing and timely deliveries.
- Obtain quotations, negotiate pricing, payment terms, and contracts to achieve maximum value for the hotel.
- Prepare and process purchase orders in accordance with hotel procurement policies and approval workflows.
- Coordinate with department heads to understand purchasing requirements and forecast future procurement needs.
- Monitor inventory levels and ensure timely replenishment of operational supplies without overstocking.
- Develop and maintain strong relationships with existing suppliers while identifying and onboarding new qualified vendors.
- Evaluate supplier performance based on quality,



pricing, service standards, and delivery timelines.
- Ensure all purchased products comply with hotel quality standards, food safety regulations, and brand specifications.
- Verify invoices, delivery challans, and purchase documentation for accuracy before processing payments.
- Coordinate with the Receiving and Stores teams to ensure smooth receipt and inspection of purchased materials.
- Maintain accurate procurement records, vendor databases, and documentation for audits and compliance.
- Assist in monthly inventory reconciliations, cost control initiatives, and purchasing reports.
- Support the Finance department with procurement-related documentation and budget monitoring.
- Stay updated with market trends, pricing fluctuations, and new supplier opportunities to improve procurement efficiency.
- Ensure strict adherence to hotel procurement policies, ethical purchasing practices, and statutory compliance.

Eligibility Criteria

- Bachelor's Degree or Diploma in Hospitality Management, Commerce, Supply Chain Management, or a related discipline.
- Minimum 3–5 years of experience in Purchasing or Procurement within a luxury or 5-star hotel.




- Strong knowledge of hospitality procurement procedures, inventory management, and vendor negotiations.
- Experience working with ERP or hotel procurement systems is preferred.
- Proficiency in Microsoft Excel and procurement reporting.
- Excellent negotiation, analytical, and organizational skills.
- Strong communication and interpersonal abilities.
- Ability to multitask and work effectively under deadlines.
- High attention to detail with a commitment to accuracy and compliance.
