Key Responsibilities

Visitor & Guest Management

- Serve as the main point of contact for business visitors, senior leadership guests, auditors, and external stakeholders visiting the office.
- Coordinate with Building Management to facilitate visitor access, parking arrangements, entry permissions, passes, and other necessary requirements.
- Welcome guests at the reception area and ensure a warm, professional, and seamless arrival experience.
- Proactively manage and address all visitor needs throughout their time at the office.

Hospitality & Meeting Support

- Ensure meeting rooms are fully prepared, including seating arrangements, audio-visual setup, and required hospitality services.
- Plan and manage refreshments, working lunches, executive meals, and customized catering arrangements for visitors and leadership teams.
- Collaborate with internal teams to ensure meeting schedules and visitor arrangements are coordinated effectively.
- Provide in office assistance during leadership visits, client meetings, business reviews, and audit engagements.





Stakeholder & Facility Coordination

- Partner with Housekeeping, Security, Reception, Cafeteria, IT, Facilities, and Building Management teams to ensure a smooth and efficient visitor experience.
- Coordinate with various internal departments to successfully deliver visitor services and event-related requirements.

Employee Engagement & Event Management

- Support the organization and execution of employee engagement activities, celebrations, wellness programs, and corporate events.
- Manage coordination with external vendors for catering, event arrangements, corporate gifts, branding materials, and hospitality services.

Administration & Continuous Improvement

- Maintain operational trackers, checklists, records, and supporting documentation to ensure effective service delivery.
- Collect feedback from stakeholders and implement continuous improvements to enhance the overall visitor and workplace experience.
