Job Title - Spare Parts Package Coordinator
Job Description
Your department
The Global Spare Parts Department is part of the Business Unit Supply. The Global Spare Partsteam is
end-to-end responsible for the spare parts activities for Vanderlandes Customer Centers (CCs) and
their customers. Global Spare Parts department is creating a Center of Competence in our Global
Capability Center at Pune, India. Global Spare Parts is organized in three departments.
Global Spare Parts
- Spare Parts Marketing managesthe spare parts product portfolio to improve the parts value
proposition to the Vanderlande CCs and Customers. The activitiesinclude Product Life Cycle
management with a strong focus on digitalization and B2B e-commerce. The team manages
the global pricing, product content and builds a strong relation with in- and external
stakeholders.
- Global Supportsupportsthe global customer base with spare parts offeringsthroughoutthe
life-time of the material handling assets. Thisincludesthe development of initialspare parts
packages and day to day technical and commercial spare parts support. The department
advises customers to optimize the on-site stock availability.
- Spare Parts Logistics manages the central parts warehouse and is responsible for all in- and
outbound warehouse activities. They manage stock-levels, lead-times and on-time shipment
and delivery of partsfrom suppliers and deliveriesto the global Vanderlande customer base
Your position
You will be the first point of contact for the customersspare partsrelated questions and requests. You
will own the ordering process and will keep the customer up to date with the delivery information.
Where necessary, you will also check the technical documentation (Bill of Material) in order to find out
what parts are needed for the customer.
Tasks And Responsibilities
- Manage customer-specific spare parts package activities from project initiation through completion.
- Collect, validate, and maintain supplier spare parts data, ensuring completeness, accuracy, and
consistency.
- Identify portfolio gaps, create missing material master records, prepare BIT files, and maintain installed
base information.
- Develop and maintain Bills of Material (BOMs), spare parts package structures, and related master data.
- Prepare preliminary budgets and customer quotations using SPARQ, FileMaker (CAP), SCCT, and manual
quotation processes.
- Process SQ quotations, spare parts orders, SD/OD orders, and associated project documentation.
- Plan and monitor spare parts deliveries, ensuring timely execution and follow-up within JDE.
- Partner with Project Managers to align spare parts deliverables with project schedules and
implementation milestones.
- Prioritize project activities, monitor progress, and ensure on-time completion of assigned deliverables.
- Serve as the primary liaison for regional Spare Parts Coordinators, promoting effective collaboration and
knowledge sharing.
- Standardize global spare parts processes, templates, and governance while supporting continuous
improvement initiatives.
- Drive operational excellence through process optimization, automation, and best-practice
implementation.
- Collaborate with Service, Sales, Supply Chain, and Project teams to deliver customer-focused lifecycle
support solutions.
- Perform installed-base and bottleneck analyses to identify operational risks and recommend optimized
spare parts strategies.
- Develop customer-specific stocking concepts and lifecycle service recommendations to improve
equipment availability and reliability.
- Support strategic initiatives that enhance lifecycle services, increase spare parts revenue, improve
customer retention, and strengthen long-term customer value.
- Build strong relationships with internal stakeholders, suppliers, and global teams to ensure seamless
communication and execution.
- Uphold Toyota Automated Logistics values by demonstrating customer focus, collaboration,
accountability, quality, and continuous improvement.
Requirements
- At least a bachelors degree, preferably Business Administration or a similar
- Relevant 5-7 years' experience in a B2B techno-commercial environment.
- Experience in Spare Parts Order Management.
- Knowledge of Material Planning and Inventory Management
- Must have generaltechnical knowledge ofspare parts &able; to read technical data sheets and
drawings
- Good negotiation skills to develop local buying
- Strong administrational skills with knowledge of Microsoft Office (specifically MS Excel)
- Experience with ERP
- Positive command of the English language (Speaking and Writing)
- Experience in handling multiple tasks in a high-energy office
- Proactive and customer service-minded
- Strong work ethic and initiative, who would like to grow and develop within the organization
- Takes full ownership and responsibilities of their assignments
