Executive Assistant (EA to Leadership) with People, Operations & Project Coordination

About the role:
We're looking for a sharp, dependable Executive Assistant who can be the right hand to leadership and the connective tissue across our teams. This is not a "calendar-only" EA role — you'll own executive support and get hands-on exposure to HR, operations, and project coordination for existing teams. Ideal for a BE/MBA graduate who wants a launchpad into people-and-operations leadership. You'll start on a 6-month internship, and on successful completion move into a full-time role with expanded ownership.
Role & Responsibilities
Executive Support
- Manage the leadership team's calendar, meetings, travel, and daily priorities; protect their time and keep them ahead of deadlines.
- Prepare agendas, take minutes, track action items to closure, and follow up across teams until things are done.
- Draft, review, and manage professional communication — emails, decks, reports, and internal notes — on behalf of leadership.
- Act as the single point of contact between leadership and internal teams, clients, and external partners.
- Handle confidential information with complete discretion.
People / HR Functions
- Support end-to-end recruitment coordination — scheduling interviews, candidate follow-ups, and onboarding of new joiners.
- Help maintain HR records, attendance, leave, and basic documentation (offer letters, employee files, policies).
- Coordinate employee engagement activities, celebrations, and internal communication.
- Assist with light HR operations — timesheets, reminders, and compliance follow-ups.
Operations
- Coordinate day-to-day office and team operations to keep things running smoothly.
- Manage vendors, procurement,
and administrative logistics as needed.
- Maintain trackers, dashboards, and MIS; prepare periodic status summaries for leadership.
Project Management (for existing teams)
- Track ongoing projects across teams — timelines, milestones, deliverables, and blockers.
- Run status check-ins, maintain project trackers, and escalate risks early.
- Coordinate between team members (in-office or remote, as the project requires) to ensure deadlines are met.
- Turn leadership decisions into clear, tracked action plans.
Preferred Candidate Profile
- BE / MBA (or equivalent); strong academic record.
- Excellent written and verbal communication — clear, confident, and professional across all levels.
- Highly organized, detail-oriented, and able to juggle multiple priorities without dropping the ball.
- Comfortable coordinating teams and following up assertively yet politely.
- Basic understanding of HR, operations, and project management concepts (formal experience not mandatory — aptitude and willingness to learn are).
- Proficient with MS Office / Google Workspace (Excel/Sheets, Docs, Slides); quick to pick up recent tools.
- Proactive, trustworthy, and solution-oriented — someone who takes ownership.
- Willing to work full time from office, with flexibility to coordinate remote teams as needed.
- Immediate joiners preferred.
