Role Overvi
ewTh e Administrative Executi ve will provide comprehensive administrative, operational, and coordination support fo r Mapfre Re’s IIO Bran ch i n GIFT Ci ty. This role is essential in ensuring smooth day‑to‑day functioning of the branch, especially during the establishment stage. Key Responsibilit
iesOffice Administration & Coordinat
ionManage daily office operations, facility coordination, and general administrative tas
ks.Coordinate with external vendors, service providers, and building/SEZ administrati

Documentation & Record Manage
mentMaintain branch documentation, including regulatory files, contracts, correspondences, and internal reco
rds.Assist with preparation and filing of reports, letters, meeting minutes, and presentati
ons.Ensure secure and compliant record‑keeping in line with MAPFRE RE and IFSCA requireme
nts.
Support for Underwriting & Opera
tionsAssist the Underwriting and Management teams with administrative tasks such as data entry, documentation, scanning, and organizing underwriting f
iles.Coordinate internal approvals, workflows, and communication between local and regional off
ices.Support the preparation of reports, dashboards, and internal submiss
ions.
Finance & Compliance S
upportAssist in processing invoices,
vendor payments, and expense document
ation.Help maintain compliance checklists, statutory calendars, and audit document
ation.Support the Principal Officer in ensuring administrative compliance with local and IFSCA guide
lines.
Travel, Scheduling & Lo
gisticsManage calendars, schedule meetings, and coordinate travel arrangements for MAPFRE RE staff visiting GIF
T City.Organize internal and external meetings, workshops, and
events.Handle visitor logistics and hospitality arrang
ements.
Reception & Communication Ma
nagementAct as the first point of contact for calls, visitors, and correspo
ndences.Ensure professional, timely communication with internal and external stake

Required Qualifications & E
xperience2–5 years of administrative or office management experience, ideally within financial services, insurance, or rei
nsurance.Strong proficiency in MS Office (Excel, Word, PowerPoint,
Outlook).Familiarity with compliance‑driven environments or regulated entities is an a
dvantage.Graduate degree in Business Administration, Commerce, or relat
ed field.
