Job Opening: Registrar
Reports to: Vice Chancellor
Location: Nayanta University Campus, Bavdhan, Pune, Maharashtra 411021
Nature and Days of Work: Full-time, On-site (Monday to Friday; flexibility required for examinations, admissions, events, and regulatory deadlines)

The Registrar is a key statutory officer of the University and will head the Registrar's function in its entirety, holding overall accountability for academic administration, compliance, and governance, and reporting directly to the Vice Chancellor.

Key Responsibilities:
Academic Administration & Governance
Hold overall accountability for academic affairs across all programmes. Implement regulations and policies approved by statutory bodies; advise the Vice Chancellor on their formulation. Oversee programme structures, course registrations, credit transfers, and academic calendars. Serve as Secretary to the Academic Council, Board of Studies, and related committees. Act as the final authority on escalated academic issues.
Examinations, Evaluation & Results
Own end-to-end responsibility for all assessments — end-semester, mid-semester, and re-exams. Ensure confidential, timely, and integrity-driven conduct of examinations. Approve evaluation, grade finalisation, moderation, and results declaration. Maintain examination records and champion technology-enabled processes and malpractice prevention.
Student Records, Enrolment & Academic Services
Own student academic records from admission to graduation. Ensure timely issuance of ID cards, transcripts, certificates, and official documents under the Registrar's authority. Govern enrolment, re-registration, discontinuation, and programme change processes. Set service standards for student and parent query resolution; drive ERP-based digitisation of records.
Admissions & Registration Support
Approve admission rules, eligibility criteria, and seat allocation in partnership with the Admissions team. Ensure seamless coordination across admissions, fee collection, document verification, and registration. Maintain admission data and reports; ensure alignment with regulatory guidelines.
Regulatory Compliance, Accreditation & Reporting
Serve as the University's principal statutory officer for UGC, State Government, and all applicable regulatory compliance. Own preparation and submission of statutory reports and returns; personally certify filings where required. Maintain records of approvals and recognitions. Track regulatory developments and advise the Vice Chancellor and Board proactively.
Convocation, Certificates & Academic Awards
Hold statutory and custodial authority over degree and certificate award processes, including eligibility verification. Lead convocation administration and act as a key officer at the ceremony. Maintain custody and issuance authority over degree certificates, rank certificates, and academic awards; certify graduation lists.
Policy, Processes & SOP Development
Own the drafting, review, and approval of policies and SOPs across academic administration, examinations, and student records. Standardise processes across schools; lead periodic policy reviews; ensure clear communication of academic policies to all stakeholders.
Data Management, ERP & Analytics
Partner with IT/ERP teams to implement and improve academic modules. Own data accuracy across records and reports. Direct the development of dashboards on enrolment, progression, and graduation. Provide data-driven insights to the Vice Chancellor, Board, and statutory bodies.
Stakeholder Coordination & Student-Centric Approach
Serve as the primary interface between the Registrar's office and all schools, departments, and administrative units. Ensure timely communication of academic schedules and regulations. Act as the final escalation point for student and parent issues, resolving them fairly and in accordance with policy.
Team Leadership & Capacity Building
Lead, mentor, and supervise all Registrar's office staff. Build the office's organisational structure, roles, and reporting lines as the University scales. Set performance expectations, conduct reviews, identify training needs, and foster a culture of professionalism, confidentiality, and service excellence.
Startup & Institution-Building Responsibility
Nayanta University is at an early institution-building stage.
The Registrar will set up the entire Registrar function from the ground up — including drafting statutes, ordinances, and regulations; establishing compliance frameworks; building office structure, workflows, and documentation standards; and hiring and mentoring the team. This role requires the mindset of a builder and an owner, not just an administrator.
Qualifications & Experience:
Education
- A graduate degree from a recognised university is the minimum qualification required for this position; a Master's degree and a Ph.D. are desirable and will be viewed favourably, in line with statutory eligibility norms for the post of Registrar.
- Additional qualifications such as MBA (Education Management/General Management), LL.B., or a degree/diploma in Education Administration will be an added advantage.
Experience
- 20 years of progressive experience, of which at least 10 years should be in academic administration or a similar profile in a university or large higher education institution, including significant experience in a senior leadership capacity.
- Prior experience as Registrar, Deputy Registrar, Controller of Examinations, or in a comparable senior academic governance role is highly desirable.
- Demonstrated track record of owning academic processes at scale (examinations, registrations, records, or compliance) and of leading and building teams.
- Experience in setting up or restructuring the Registrar's office or equivalent function in a growing institution will be a strong advantage.
Technical Competencies
- Deep understanding of university academic structures, statutes, regulations, and governance processes.
- Strong familiarity with UGC and other regulatory frameworks relevant to higher education in India.
- Experience with ERP / student information systems and digital workflows in academic administration.
- Proficiency in MS Office and comfort with data analysis and report preparation.
- Strong documentation, drafting, and record-keeping skills, including statutory drafting.

- Highest standards of integrity, confidentiality, and professionalism, befitting a principal statutory officer of the University.
- Strong executive presence with the ability to represent the University before regulatory bodies, the Board, and senior stakeholders.
- Excellent written and verbal communication skills for interaction with students, faculty, the Board, and regulators.
- Solution-oriented mindset with the ability to handle pressure during peak periods (exams, admissions, convocation, etc.).
- Team-oriented and approachable, yet firm in upholding policies and regulations.
Remuneration:
Compensation will be competitive and benchmarked to higher education sector norms for the post of Registrar, commensurate with experience and qualifications.
