Description
The primary responsibility of this role is the management of the Corporate Travel Inbox, serving as the central point of contact for employee travel support, travel policy guidance, supplier coordination, and travel program communication. This position ensures travelers receive timely assistance while supporting the overall effectiveness, compliance, and performance of the corporate travel program.
The role partners with travelers, travel management companies (Amex GBT), suppliers (air-car-hotel), finance, procurement, security, HR, and other internal stakeholders to administer travel-related processes and resolve travel issues.
Responsibilities
Corporate Travel Inbox Management
- Serve as the primary contact for all travel-related inquiries.
- Respond to traveler questions regarding reservations, policy requirements, unused tickets, travel disruptions, supplier programs, and international travel.
- Coordinate issue resolution with the Travel Management Company (TMC), airlines, hotels, and car rental suppliers.
- Monitor inbox service levels and ensure timely response to traveler requests.
Travel Program Administration
- Administer corporate travel policies and procedures.
- Support traveler compliance and provide guidance on approved booking channels and travel requirements.
- Provide guidance on international travel approval and ghost card authorization processes.
- Support monthly credit card reconciliation process.
Supplier Management & Support
- Coordinate traveler escalations with supplier account teams.
- Support billing team by providing back up receipts for ghost card charges.
Qualifications
- Have extensive experience in delivering a high-quality travel and administration support service in a demanding and pressurised environment. Previous experience in similar roles considered.
- Have excellent geographical knowledge.
- Possess a professional and confident manner.
- Have proven experience in managing travel in a customer facing role.
- Proactively manage expectations, with excellent organizational and interpersonal skills.
- Have strong verbal and written communication skills, with excellent attention to detail.
- Are fully conversant to an advanced level in Microsoft 365, including Word, PowerPoint and Excel.
- Can problem solve and use own initiative.
- Communicate openly and proactively share knowledge and best practice.
- Have a desire to work in a fast-paced environment.
- Act with integrity and discretion.

Desirable Skills
- Experience working with a Travel Management Company (TMC).
- Knowledge of airline, hotel, and car rental supplier programs.
- Knowledge of corporate travel policy and compliance practices.
- Experience supporting corporate travel programs, travel operations, procurement, or supplier management.
