Role & responsibilities
Manage and maintain complex calendars, including scheduling meetings, coordinating across multiple time zones, and prioritizing appointments.
Handle confidential and sensitive information with discretion.
Prepare meeting agendas, take minutes, and follow up on action items.
Coordinate travel arrangements, expense reporting, and logistics for meetings and events.
Serve as the primary point of contact for internal and external stakeholders on behalf of the Head of Operations and the CFO.
Draft, review, and manage professional correspondence, presentations, and reports.
Assist in tracking strategic initiatives and ensuring deadlines are met.
Support special projects, research, and administrative needs as required.
Preferred candidate profile
Bachelors degree or equivalent experience preferred.
Minimum of 5 years experience as an Executive Assistant or in a similar role supporting senior executives.
Exceptional written and verbal communication skills.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (Zoom, Teams, Google Workspace).
Strong organizational skills with the ability to multitask and prioritize.
Ability to work independently and maintain professionalism under pressure.
Flexibility to work during Pacific Time (PT) business hours regardless of location.
