Role Overview
Join our Legal Operations team as an Assistant Manager - Paralegal . In this role, you will support clients, advisors, executives, and legal teams through legal research, document preparation, client communications, workflow management, scheduling, and operational coordination. In addition to handling complex legal operations, you will drive process improvements, mentor junior team members, and ensure efficient execution across IP litigation and consulting matters. This role supports our US-based legal operations and requires working US Central Time (CT) business hours (9:00 AM - 6:00 PM CT) . Key Responsibilities
- Conduct legal research, analyze findings, and support intellectual property litigation and consulting matters.
- Draft, review, proofread, and format legal documents, contracts, correspondence, and litigation-related materials using AdobeSign, Microsoft Office, and other legal technology tools.
- Manage client communications, coordinate meetings, maintain calendars, and ensure timely tracking of deadlines and deliverables across multiple matters.
- Create, maintain, and continuously improve legal playbooks, templates, SOPs,
and operational documentation to drive consistency and efficiency across legal matters.
- Lead and optimize legal workflows, templates, document repositories, and operational processes to improve efficiency and consistency.
- Track matter metrics, workload, timelines, and prepare reports and dashboards for leadership.
- Mentor and provide guidance to junior legal operations/paralegal team members while ensuring adherence to quality standards and best practices.
- Identify opportunities to automate or improve legal processes using legal technology and AI-enabled tools.
Requirements:
- Bachelors degree or equivalent in Legal Studies, Business, or a related field (Paralegal certification preferred but not required per Texas standards).
- 5 - 7 years of experience in legal support, paralegal, legal operations, litigation support, or professional services.
- Strong project management, organizational, and stakeholder management skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
Preferred
- Experience supporting litigation, intellectual property matters, or case management platforms.
- Experience working in a cross-geography environment, preferably supporting US-based teams or clients .
- Experience working across multiple jurisdictions ( US, EU, Asia, etc. ) is preferred.
- Demonstrated experience leading legal operations initiatives, process improvements, or mentoring team members.
- Proven experience in office coordination, client service, and document management.
- Familiarity with legal technology and AI tools for legal research, document automation, workflow optimization, or knowledge management.
