About the RoleWe are looking for an Administrative & Operations Manager to become the backbone of our internal operations.
This is not a conventional administrative role where you simply maintain an existing system.
You will work closely with the founder to build the company's operating infrastructure from the ground up — including Notion, SOPs, documentation, vendor systems, recruitment processes, internal workflows and execution tracking.
The ideal person is highly organized, detail-oriented, proactive and comfortable turning unstructured ideas into clear systems and actionable processes.
Key Responsibilities




- Build, organize and continuously improve our Notion workspace and internal knowledge systems
- Create and maintain SOPs, checklists, workflows and operating processes
- Build and maintain databases for vendors, partners, freelancers and service providers
- Manage vendor onboarding, documentation and coordination
- Support the founder with planning, task management, follow-ups and execution tracking
- Coordinate recruitment activities including job postings, candidate tracking, interview scheduling, documentation and onboarding
- Help establish basic HR and administrative systems as the team grows
- Coordinate with external consultants, freelancers, agencies and vendors
- Maintain project trackers, deadlines, documentation and internal records
- Identify operational gaps and build practical systems to solve them
