We are looking for a proactive and detail-oriented GeM Portal Bidding Executive to manage the end-to-end bidding process on the Government e-Marketplace (GeM) and other government e-tendering portals. The candidate will be responsible for identifying relevant opportunities, analysing tender requirements, preparing bid documentation, coordinating with internal teams, and ensuring timely and compliant submission of bids.
EXPERIENCE
2–3 years of relevant experience in GeM bidding, tendering, proposal management, or government procurement.
EDUCATION
Graduate in any discipline
Technical or a related field will be an advantage.
TECHNICAL SKILLS
· Strong working knowledge of GeM Portal and government e-procurement portals.
· Valuable understanding of government tenders, RFPs, RFQs, EOIs, GeM bids, and procurement procedures.
· Excellent MS Word, MS Excel, and PowerPoint skills.
· Strong document preparation and formatting skills.
· Good understanding of technical and commercial bid documentation.
· Strong analytical and tender-document reading skills.
· Excellent coordination and follow-up abilities.
· Strong written and verbal communication skills.
· Ability to work under strict deadlines and manage multiple bids simultaneously.
· High attention to detail and accuracy.
KEY RESPONSIBILITIES
· Regularly monitor GeM Portal and other government tender/e-procurement portals for relevant opportunities.
· Search, identify, and shortlist tenders/RFPs aligned with the company's products and services.
· Thoroughly review GeM Bid Documents, RFPs, RFQs, EOI, RFP amendments, corrigenda, and technical specifications.
· Analyse eligibility criteria, technical requirements, financial requirements, turnover, experience, EMD, security deposit, and other bid conditions.
· Prepare and maintain Bid/No-Bid analysis and tender trackers. - Coordinate with the technical,
finance, HR, legal, and management teams to collect required documents and information.
· Prepare complete Technical Bids, Commercial/Financial Bids, compliance sheets, declarations, undertakings, eligibility documents, and other tender-related documents.
· Ensure all documents are properly signed, stamped, self-attested, notarised, or digitally signed wherever required.
· Upload bid documents on GeM and other e-procurement portals within the prescribed timelines.
· Coordinate for EMD/Bid Security, Performance Security, tender fees, and other financial instruments, wherever applicable.
· Prepare and submit pre-bid queries/clarifications within the stipulated timelines.
· Track bid opening, technical evaluation, presentations, financial opening, L1 status, award, and subsequent procurement stages.
· Maintain records of submitted bids, technical documents, financial documents, acknowledgements, and bid outcomes.
· Coordinate with clients/departments regarding clarifications, presentations, demonstrations, and post-bid requirements.
· Support the preparation of company profiles, capability statements, project credentials, experience documents, and technical proposals.
· Maintain an updated database of previous bids, tender documents, client requirements, certificates, work orders, and relevant credentials.
· Track upcoming tender opportunities and provide regular updates to management.
· Ensure confidentiality and accuracy of all bidding and commercial information.
PREFERRED EXPERIENCE
Candidates with experience in bidding for IT/ITES, software development, e-Governance, digital platforms, manpower services, digitisation, mobile/web applications, consultancy, or government projects will be preferred.
Experience with portals such as GeM, CPPP, e-Tender, and state government e-procurement portals will be an added advantage.
