Job SummaryWe are looking for an experienced Export Import Documentation Specialist with strong hands-on experience in the Frozen Seafood Export Industry.
The candidate must have comprehensive knowledge of export documentation, customs procedures, shipping documentation, EIC/MPEDA requirements, seafood export compliances, certificates, banking documentation, and coordination with shipping lines, CHA, freight forwarders, inspection agencies, processing plants, and overseas buyers.
The ideal candidate should be capable of independently handling the complete export documentation cycle from Purchase Order / Proforma Invoice until shipment completion, document submission, and payment realization.
Key ResponsibilitiesExport Documentation
- Handle complete pre-shipment and post-shipment documentation for frozen seafood export consignments.
- Prepare and verify:
- Commercial Invoice
- Packing List
- Proforma Invoice
- Shipping Bill
- Bill of Lading / Sea Waybill
- Certificate of Origin
- Health Certificate
- Catch Certificate, wherever applicable
- Inspection Certificates
- Fumigation / other certificates, wherever applicable
- Insurance documents
- Export declarations and supporting documents
- Prepare documents strictly according to Purchase Orders, Sales Contracts, Letter of Credit (LC), buyer requirements, and destination-country requirements.
- Verify product descriptions, scientific names, HS Codes, sizes, grades, packing specifications, net/gross weights, container details, consignee information, ports, and shipping marks.
- Check Bill of Lading drafts and coordinate corrections before final BL issuance.
- Seafood Export Compliance
- Strong working knowledge of documentation and compliance requirements relating to MPEDA, EIC/EIA, Customs, DGFT, ICEGATE and FSSAI, wherever applicable.
- Knowledge of Health Certificate and Catch Certificate procedures for marine/seafood exports.
- Ensure documentation complies with requirements of importing countries and overseas buyers.
- Coordinate with EIC/EIA-approved seafood processing plants for necessary certificates and shipment documentation.
- Maintain proper traceability and supporting records required for seafood export shipments.
- Stay updated with changes in export regulations, seafood compliance requirements, customs procedures, and destination-country documentation.
Shipping & Logistics Coordination
- Coordinate with CHA, freight forwarders, shipping lines, transporters, processing plants, surveyors, and inspection agencies.
- Handle container booking and coordinate shipment schedules.
- Track container movement, stuffing, gate-in, vessel cut-off, ETD, ETA, transshipment, and vessel status.
- Ensure all documents are completed within shipping-line and customs deadlines.
- Coordinate reefer container shipments and ensure shipment details are correctly reflected in documentation.
- Follow up for final Bill of Lading and other original shipping documents.
Customs & Government Documentation
- Coordinate Shipping Bill filing with CHA and verify all information before submission.
- Ensure correct declaration of HS Code, product description, quantity, value, scheme details, and other statutory information.
- Coordinate documentation related to DGFT, ICEGATE, Customs, EIC/EIA and MPEDA as applicable.
- Maintain records required for audits, inspections, government authorities, and export incentives/benefits.
- Follow up on shipment-related customs queries and documentation discrepancies.
Banking & Post-Shipment Documentation
- Prepare complete post-shipment document sets for buyers and banks.
- Handle documentation under Advance Payment, TT, DP/DA, CAD and Letter of Credit (LC) terms.
- Scrutinize LC terms and ensure export documents comply with LC requirements.
- Coordinate document submission/negotiation with banks.
- Follow up on payment realization and maintain shipment/payment records.
- Coordinate documentation relating to e-BRC and export realization wherever applicable.
- Minimize discrepancies in banking and LC documentation.
Required Experience & Skills
- Minimum 3–6 years of hands-on experience in Export/Import Documentation.
- Seafood / Marine Products Export experience is strongly preferred and candidates should understand seafood-specific documentation and compliance.

- Ability to independently scrutinize export documents and identify discrepancies before submission.
- Excellent coordination and follow-up skills.
- Strong attention to detail, particularly for scientific names, quantities, weights, values, packing, HS Codes, certificate details, and buyer requirements.
- Good command of written and spoken English.
- Proficiency in MS Excel, Word, Email and export documentation software/portals.
Preferred Candidate ProfilePreference will be given to candidates who have previously worked with a:
Frozen Seafood Exporter / Seafood Processing & Export Company / Marine Products Export House
Candidates who have independently handled shipments of products such as Squid, Cuttlefish, Shrimp/Prawns, Fish and other frozen marine products will be preferred.
The candidate should understand the importance of accuracy, timelines, traceability, regulatory compliance, and destination-specific documentation in the seafood export industry.
