Job Overview

Within the CESAME framework and for the specific contracts managed, the License Management specialist acts as the primary contact for all licensing matters related to the products. They will lead activities such as:

- Identifying software assets covered by the contract
- Supporting regional teams in declaring and inventorying software, including data collection, benefit sharing, and ensuring vendor obligations are met
- Providing consultancy on product optimization, compliance, and cost-saving opportunities
- Managing internal governance processes (product management, support domain strategy, gathering future needs, maintaining catalogs)
- Overseeing vendor portal activities
- Maintaining license compliance using the Flexera tool
- Supporting audit processes and related activities

They assist the contract manager in preparing governance meetings and handle operational discussions like support queries and escalations. Scope of Work The contracts managed may include, but are not limited to:

- SAP
- IBM
- Oracle
- Microsoft
- Adobe
- Genesys

Responsibilities In coordination with the chargeback manager, the License Management specialist will:

- Manage declarations, inventory, measurements, and reservations
- Allocate licenses across global entities according to requirements and agreements
- Allocate benefits from global agreements to entities, developing transparent models and processes, communicating mechanisms, and handling requests

Consulting & Strategic Support:

- Share licensing best practices via channels like SharePoint, webcasts, and monthly meetings
- Support domain strategy and product evolution discussions with architects
- Forecast future licensing needs based on product evolution, requirements, and policy changes
- Manage vendor portals (access, license allocation, downloads, keys) and support portals (user access, issue management)
- Act as the single point of contact (SPOC) for internal licensing queries, declarations, inventory,



and allocations
- Track product and service evolutions, ensuring coverage in agreements

Ensuring Compliance:

- Oversee product lifecycle management within AXA, communicating lifecycle status and updates
- Monitor product-specific use rights and communicate changes to relevant stakeholders
- Manage vendor-initiated audits, consolidating results, and liaising with vendors as the SPOC

Scope Expansion & Optimization:

- Identify opportunities for scope expansion and ensure new entities are covered under existing agreements
- Recognize and communicate cost savings opportunities within the global agreement
- Maintain up-to-date product catalogs and support renewal processes
- Manage compliance on Flexera and vendor portals

Key Performance Indicators (KPIs) & Deliverables

- Document and communicate product lifecycle details, including catalogs and pricing
- Keep product and licensing information current with evolving product landscapes
- Provide licensing optimization recommendations based on agreement reviews
- Detect and resolve under or over-licensing issues
- Deliver cost savings through licensing consultancy and rationalization
- Track global license purchases and allocations, providing management reports
- Develop and implement benefit allocation processes

Required Skills & Attributes

- Ability to answer technical and functional questions about covered products and licensing changes
- Skilled in license optimization and licensing trend analysis
- Demonstrates leadership and excellent communication skills to foster trust with clients and vendors
- Capable of translating technical licensing information into transparent, non-technical language for diverse audiences

- Fluent in English, with the ability to engage with international teams and stakeholders
- Comfortable discussing with entities, presenting dashboards, and explaining processes with flexibility and attentiveness
