Job Title: Executive Assistant – Strategic & Operations Support

Organization: Pote Group of Education
Location: Kalyan (with inter-campus coordination)
Reporting To: CMD / Group Leadership

Role Overview

The Executive Assistant will work closely with the CMD and leadership team to manage priorities, drive execution, and enable effective functioning of the Executive Office across PGOE.

This is a high-ownership role that combines executive support with execution management, requiring the ability to think structurally, manage complexity, and ensure consistent follow-through. The individual will act as a central anchor for coordination, communication, and progress tracking across institutions, while also supporting the CMD in day-to-day decision-making and priority management.

Over time, the role is expected to evolve in scope based on capability, with increasing involvement in strategic initiatives, decision support, and cross-functional projects.

Key Responsibilities

1. Executive Support & Priority Management

- Manage the CMD’s calendar, scheduling, and commitments with a strong focus on prioritization and impact
- Ensure optimal use of leadership bandwidth by filtering requests and aligning engagements with key priorities
- Prepare agendas, briefing notes, and contextual material for meetings and discussions
- Support internal and external communication on behalf of the CMD
- Maintain high levels of discretion in handling sensitive information
- Anticipate requirements and proactively prepare for upcoming priorities and engagements

2. Meeting Effectiveness & Governance

- Plan, coordinate, and manage leadership meetings, reviews, and cross-functional discussions
- Ensure meetings are structured,



agenda-driven, and outcome-oriented
- Capture key decisions, action items, and ownership clearly
- Track follow-ups and ensure timely closure of commitments
- Establish basic governance rhythms (weekly check-ins, monthly reviews) where required
- Ensure decisions are not just discussed but translated into execution

3. Execution Tracking & Organizational Follow-Through

- Track progress of key initiatives across campuses and functions
- Follow up consistently with stakeholders to ensure timelines and deliverables are met
- Identify delays, risks, and execution gaps early and escalate appropriately
- Drive accountability across teams, irrespective of reporting lines
- Maintain high visibility on the status of key priorities and initiatives

4. Information Synthesis & Reporting

- Consolidate updates from multiple stakeholders into structured summaries and dashboards
- Maintain trackers for key initiatives, decisions, and priorities
- Convert fragmented inputs into explicit, concise, and actionable insights
- Support preparation of leadership reports, reviews, and presentations
- Ensure leadership has accurate and timely visibility into on-ground realities

5. Cross-Functional Coordination

- Act as a central coordination point across schools, junior college, tutorials, and academy
- Facilitate communication between leadership and operational teams
- Ensure alignment on priorities, timelines, and expectations across units
- Help reduce silos and improve collaboration across functions

6. Support on Strategic Initiatives & Projects

- Assist in planning and execution of high-priority and cross-functional projects
- Conduct research, data gathering, and basic analysis to support decision-making
- Support rollout of new initiatives, programs, or processes
- Contribute to improving systems, workflows, and operational efficiency
- Take ownership of specific workstreams or projects based on capability

7. Decision Support to Leadership

- Provide structured inputs to support decision-making (problem, context, options, next steps)
- Highlight risks, dependencies, and potential execution challenges
- Bring clarity to ambiguous situations through structured thinking and analysis
- Support leadership in prioritizing competing demands

- Clear visibility of progress, risks, and bottlenecks across key initiatives
- Improved coordination and alignment across campuses and teams
- Reduction in missed follow-ups, delays, and communication gaps
- Reliable, structured support to leadership in both execution and decision-making

Candidate Profile

Experience

- 4–7 years of experience in Executive Assistant, operations, program management, consulting, or similar roles
- Experience working closely with senior leadership is preferred
- Exposure to fast-paced, multi-unit, or high-growth environments is an advantage

Pay: From ₹900,000.00 per year
