Position Title: Sales Coordinator

Draft, process, and issue accurate Offers/Quotations and Proforma Invoices to customers based on sales requirements.
Process confirmed purchase orders into formal Sales Orders within SAP.
Generate final Sales Invoices accurately upon dispatch/delivery confirmation.
Maintain and update customer master data, pricing records, and sales history in the SAP system.
Serve as the primary point of contact for customer queries regarding order status, product availability, delivery timelines, and documentation.
Coordinate with the logistics/warehouse team to track shipments and proactively share dispatch details (LR copies, tracking IDs, invoice copies) with customers.
Handle customer queries or complaints efficiently, liaising with internal operations teams for quick resolution.
Follow up with prospective and existing customers on open offers, quotations, and leads to maximize conversion rates.
Track lead status in the system and report progress regularly to the Sales Manager.




Identify, track, and download relevant tender/bidding opportunities from various government and private portals.
Prepare and compile required tender documentation, technical compliance sheets, commercial bids, and EMD (Earnest Money Deposit) details in coordination with internal teams.
Ensure timely online or offline submission of tender bids and track post-submission evaluations.
Monitor customer payment cycles and maintain an up-to-date tracking sheet for outstanding bills.
Coordinate directly with customers and the finance department to facilitate timely payment collections and resolve payment/invoice discrepancies.
Prepare and execute bulk promotional email campaigns to introduce new products, seasonal offers, or company updates to the customer database.
Maintain an updated database of active, inactive, and prospective customer contacts for marketing outreach.
