Job Title: Track & Trace Coordinator
Department: Operations / Transport
Employment Type: Full-Time
Location: Hyderabad

Reporting To: Operations / Transport Manager
Key Responsibilities
- Monitor and track allocated freight movements from collection through to final delivery and ensure all shipment milestones are updated accurately.
- Coordinate with drivers, operations teams, and relevant stakeholders to ensure scheduled collections, deliveries, loading, and unloading activities are completed within required timeframes.
- Dispatch drivers for delivery and collection time slots based on operational requirements and customer commitments.
- Proactively monitor shipment progress, identify delays or potential service failures, and take corrective action to minimise disruptions.
- Maintain regular communication with drivers throughout their shifts and proactively follow up on outstanding collections, deliveries, and ETA commitments.
- Notify drivers when freight is ready for departure and communicate any delays or changes that may affect their schedules.
- Ensure drivers complete required pre-start checks and follow company safety procedures, escalating safety concerns where required.
- Respond promptly and professionally to customer enquiries regarding shipment status, ETAs, delivery issues, delays, and service updates.
- Proactively notify customers of anticipated late collections or deliveries by phone and provide written confirmation via email.
- Manage customer incidents, complaints, and escalations by coordinating with the relevant teams to achieve timely resolution.
- Ensure all freight movements, status updates, milestones, and operational information are accurately recorded in the Transport Management System (TMS).
- Maintain real-time and accurate shipment information across relevant systems to support operational visibility and customer reporting.
- Monitor the shared Track & Trace inbox throughout the shift and ensure all emails are actioned, responded to, and appropriately filed.
- Maintain accurate operational records, documentation, and communication logs.
- Prepare and distribute daily DIFOT (Delivered In Full, On Time) reports for key customers, including PC, Ingham, and Baiada.
- Monitor service performance, identify recurring issues or trends, and escalate operational risks and service failures to management.
- Provide clear written and verbal shift handovers covering outstanding issues, customer commitments, delayed shipments, priorities, and required follow-ups.
- Work collaboratively with onshore and offshore teams to ensure seamless operational continuity across shifts.
- Coordinate with drivers, customers, subcontractors, and operations teams to resolve issues and minimise service disruptions.
- Maintain a qualified, respectful, and customer-focused approach in all internal and external communications.
- Maintain confidentiality of company, customer, shipment, and operational information.
- Support continuous improvement initiatives and contribute to achieving operational and customer service KPIs.
Must-Have Skills & Experience
- 2–4 years of experience in Track & Trace, Transport Coordination, Logistics Coordination, Freight Operations, Dispatch, or a similar role.
- Strong understanding of freight movement, transport coordination, collections, deliveries,
and ETA management.
- Experience working with a Transport Management System (TMS) or similar logistics/transport software.
- Strong verbal and written communication skills with the ability to communicate effectively with customers, drivers, and internal teams.
- Excellent follow-up and coordination skills with the ability to manage multiple shipments simultaneously.
- Strong attention to detail and accuracy in updating shipment information and operational records.
- Ability to identify delays, service risks, and exceptions proactively and escalate them appropriately.
- Good working knowledge of MS Office, particularly Excel and Outlook/email management.
- Ability to work under pressure in a fast-paced, time-sensitive operational environment.
- Strong problem-solving and decision-making skills.
- Willingness to work in shifts, including early morning, evening, weekend, or public holiday shifts where required.
Good-to-Have Skills
- Experience handling DIFOT/KPI reporting and service-performance monitoring.
- Experience working with Australian or international freight/transport operations.
- Knowledge of driver scheduling, dispatch operations, subcontractor management, and delivery networks.
- Experience managing shared inboxes and high-volume customer communications.
- Familiarity with GPS tracking, fleet management, or real-time shipment tracking systems.
- Advanced Excel skills, including filters, Pivot Tables, VLOOKUP/XLOOKUP, and basic reporting.
- Experience working with customers from large retail, FMCG, food, manufacturing, or logistics businesses.
- Understanding of transport safety requirements and operational compliance.
- Experience working with offshore/onshore operations teams.
Pay: ₹500,000.00 - ₹800,000.00 per year
