Role & responsibilities

Key Responsibilities
- Prepare, obtain approvals for, and submit work permits for vendor and in-house maintenance activities.
- Coordinate material procurement by: Receiving material requirements from users.
- Preparing RFQs (Request for Quotation) and forwarding them to the Purchase Department.
- Reviewing quotations and preparing indent requests.
- Raising Purchase Requisitions (PRs). Tracking Purchase Orders (POs) using PO tracking numbers.
- Following up with suppliers until materials are received.
- Verifying received materials for correct quantity, model, and make. Maintain and update daily tracking records for Gate Passes, RFQs, and Purchase Requisitions.
- Manage facility store inventory, including stock monitoring and record maintenance. Update and maintain cash voucher records and related data.
- Prepare cash vouchers and maintain Guest House expense records.
- Follow up on vendor invoices and coordinate the Goods Receipt Note (GRN) process.
- Maintain and update the Invoice-GRN tracking sheet.




- Verify Guest House ordered materials for quality and correctness, and process vendor payments using the company credit card as authorized.
- Prepare Guest House menu cards and nameplates, and coordinate their distribution to Guest House staff.
- Raise gate passes for repairable materials and monitor the repair process until completion.
- Maintain Delivery Challan status records (Open/Closed) and ensure timely closure.
- Perform ETP (Effluent Treatment Plant) laboratory analysis as per standard procedures.
- Carry out calibration of the pH sensor for the ZLD (Zero Liquid Discharge) system and maintain calibration records.
- Desired Skills Knowledge of facility management and maintenance coordination.
- Basic understanding of procurement and inventory management processes. E
- xperience with RFQ, PR, PO, GRN, Gate Pass, and Invoice documentation.
- Valuable documentation and record-keeping skills. Proficiency in Microsoft Excel and MS Office.
