Role Overview
We are looking for an experienced Senior Purchase Executive to manage end-to-end procurement for interior design and execution projects. The candidate will be responsible for sourcing materials, negotiating with vendors, obtaining quotations, ensuring timely deliveries, maintaining purchase records, and coordinating closely with the design, project, accounts, and site teams.
Key Responsibilities
Procurement & Vendor Management
Handle end-to-end purchasing for interior projects, from enquiry to delivery.
Source materials such as plywood, MDF, laminates, veneers, hardware, electrical items, lights, sanitaryware, tiles, wallpapers, fabrics, furniture, décor items, paints, and other interior materials.
Identify and develop reliable vendors, manufacturers, contractors, and suppliers.
Obtain and compare multiple quotations based on price, quality, specifications, and delivery timelines.
Negotiate prices, payment terms, credit periods, transportation, and delivery schedules.
Maintain a strong vendor database and evaluate vendor performance.
Project Coordination
Coordinate with Interior Designers, Project Managers, Site Supervisors, Production Teams, and Accounts to understand material requirements.
Review material specifications, BOQs, drawings, and purchase requisitions before placing orders.
Ensure materials are purchased according to approved designs, specifications, quantities,
and budgets.
Track pending materials and ensure timely delivery to project sites.
Coordinate with site teams regarding material receipt, shortages, damages, and replacements.
Cost Control
Achieve competitive pricing while maintaining required quality standards.
Prepare comparative statements and obtain management approvals before purchase.
Monitor project-wise purchase costs and help control procurement budgets.
Negotiate with suppliers for better rates on bulk and repeat orders.
Identify cost-saving alternatives without compromising design or quality.
Purchase Documentation
Prepare and maintain Purchase Orders (POs), quotation comparisons, vendor quotations, invoices, delivery challans, and material records.
Maintain accurate purchase and vendor documentation.
Coordinate with the Accounts team for invoice verification and payment processing.
Track outstanding orders, pending deliveries, and vendor payments.
Quality & Delivery
Ensure materials meet approved specifications and quality standards.
Follow up continuously with suppliers to avoid project delays.
Inspect or coordinate inspection of materials before dispatch/delivery wherever required.
Handle defective, damaged, incorrect,
or short-supplied materials with vendors and arrange replacements.
Required Skills
Strong knowledge of interior design and construction materials.
Good vendor and supplier network.
Excellent negotiation and communication skills.
Solid knowledge of BOQs, quotations, comparative statements, and purchase orders.
Good understanding of material specifications and quality standards.
Strong follow-up and coordination skills.
Ability to manage multiple projects and urgent requirements simultaneously.
Good knowledge of MS Excel and MS Office.
Knowledge of purchase/procurement software or ERP systems will be an advantage.
Strong numerical and analytical skills.
Preferred Candidate
Experience in an interior design, turnkey interior, architecture, construction, or contracting company.
Should have good knowledge of Mumbai/local vendors and material markets.
Should be comfortable travelling to vendor locations and project sites when required.
Should be proactive, organised, and capable of working under tight project deadlines.

Qualification
Bachelor’s degree/diploma in Commerce, Business Administration, Supply Chain, Procurement, Interior Design, Construction Management, or a related field.
