Role Summary The Executive Assistant to the Managing Director will provide high-level administrative, strategic, and operational support to the MD. The ideal candidate will possess exceptional organizational, communication, and multitasking skills, with the ability to manage confidential information while coordinating effectively with internal teams and external stakeholders.
Key Responsibilities
Calendar & Meeting Management
Manage the MD's calendar, appointments, meetings, and business commitments.
Prioritize schedules and coordinate internal and external meetings.
Ensure all meetings are well-organized with relevant documentation and follow-ups.
Communication Management
Serve as the primary point of contact between the MD and internal/external stakeholders.
Screen emails, phone calls, and correspondence, ensuring timely responses.
Draft qualified emails, letters, and official communications on behalf of the
MD.
Administrative Support
Prepare presentations, reports, proposals, MIS reports, and business documents.
Maintain confidential records and handle sensitive information with complete discretion.
Organize and maintain business files and important documentation.
Meeting Coordination
Prepare meeting agendas and briefing materials.
Record meeting minutes and monitor action items.
Ensure timely follow-up on pending tasks and deliverables.
Travel & Event Management
Coordinate domestic and international travel, including flight bookings, hotel reservations, visas, and itineraries.
Organize business meetings, conferences, exhibitions, and corporate events.
Stakeholder Management
Build and maintain professional relationships with clients, vendors, business partners, and senior leadership.
Represent the MD professionally during meetings and business interactions whenever required.
Strategic & Business Support
Assist the MD in business planning, market research, and strategic initiatives.
Track key projects and ensure timely execution of business priorities.
Prepare analytical reports and management dashboards for decision-making.
Required Qualifications
Bachelor's degree in Business Administration, Management, or a related field.
MBA is preferred.
Experience
5–7 years of experience as an Executive Assistant, Personal Assistant, or
Executive Secretary supporting senior leadership.
Experience working directly with CXOs, Directors, or Managing Directors is highly preferred.
