Deputy Manager – Logistics (Logistics & MIS)

Job Summary The Deputy Manager – Logistics will be responsible for planning, coordinating, monitoring, and optimizing logistics operations to ensure timely and cost-effective movement of materials across warehouses, project sites, schools, institutions, and other delivery locations.

The role will focus on transportation planning, transporter coordination, shipment tracking, delivery monitoring, POD management, freight tracking, logistics MIS, route optimization, and performance analysis. The position will ensure complete visibility of material movement from dispatch to final delivery and provide timely updates and actionable MIS to management.

Key Responsibilities1. Logistics Planning & Execution

- Plan and coordinate transportation and logistics operations based on project and delivery requirements.
- Manage movement of materials from suppliers/warehouses to project sites, schools, institutions, and customer locations.
- Plan suitable transportation modes and vehicle requirements based on shipment size, destination, urgency, and cost.
- Coordinate with internal teams for dispatch planning and vehicle placement.
- Ensure timely movement and delivery of materials across multiple states and locations.
- Develop alternate logistics plans for urgent, remote, and critical deliveries.

1. Transporter & Logistics Partner Management

- Coordinate with approved transporters, fleet operators, and 3PL partners.
- Arrange vehicles as per delivery schedules and shipment requirements.
- Monitor transporter commitments, vehicle placement, pickup, and delivery timelines.
- Track transporter performance based on cost, delivery TAT, responsiveness, damages, and service levels.
- Resolve transporter-related operational issues and escalate critical delays.
- Maintain transporter-wise performance records and MIS.

1. Shipment Tracking & Delivery Monitoring

- Maintain end-to-end tracking of shipments from dispatch/pickup to final delivery.
- Monitor shipment status through transporter updates, tracking systems, and regular follow-ups.
- Track vehicle placement, pickup, in-transit status, expected delivery date, and actual delivery.
- Identify delayed, stuck, or high-risk shipments and take corrective action.
- Maintain daily shipment tracking and exception reports.
- Ensure timely collection and closure of POD (Proof of Delivery).





1. Logistics MIS & Reporting

- Prepare and maintain Daily, Weekly, and Monthly Logistics MIS.
- Develop dashboards covering:
- Shipment Status
- Dispatch Status
- Delivery Status
- In-Transit Shipments
- Delayed Shipments
- POD Status
- Freight Cost
- Transporter Performance
- Delivery TAT
- Pending Shipments
- Location-wise Logistics Performance
- Provide management with timely updates on critical shipments, delays, exceptions, and logistics performance.
- Analyse logistics data to identify cost, delivery, and operational improvement opportunities.
- Maintain accurate historical logistics data for management review and decision-making.

1. Freight & Cost Monitoring

- Track transportation costs against approved rates and agreed commercial terms.
- Verify freight bills against approved transporter rates, shipment details, and supporting documents.
- Monitor freight cost by project, route, location, transporter, and shipment.
- Identify opportunities for route optimization, vehicle utilization, and freight cost reduction.
- Maintain freight and transporter payment-related MIS and coordinate with Finance for discrepancies.

1. Delivery & POD Management

- Monitor delivery commitments and ensure shipments reach destinations within defined TAT.
- Coordinate with site/project teams for delivery confirmation and receipt status.
- Ensure timely collection and submission of PODs.
- Track pending PODs and coordinate with transporters/sites for closure.
- Maintain records of delivery discrepancies, shortages, and damages and coordinate with relevant teams for resolution.

1. Logistics Performance & Process Improvement

- Monitor key logistics KPIs including:
- OTIF Delivery
- Delivery TAT
- Freight Cost
- Vehicle Utilization
- POD Closure
- Shipment Delay
- Transporter Performance
- Identify recurring logistics bottlenecks and implement corrective actions.
- Optimize routes, transportation modes, and shipment consolidation wherever possible.
- Standardize logistics tracking and reporting processes across locations.
- Drive process improvements and digital tracking for better shipment visibility.

Coordination with Internal Teams

- Coordinate closely with Procurement, Projects, Warehouse, Finance, Operations, and Site Teams.
- Obtain accurate dispatch requirements and delivery priorities from respective teams.
- Ensure logistics plans are aligned with project timelines and material availability.
- Escalate critical logistics risks and delays to management.
- Maintain effective communication between transporters and internal stakeholders.

Qualifications
- Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Engineering, Commerce, or related discipline.
- MBA / PG Diploma in Supply Chain, Logistics, or Operations preferred.

Experience
- 5–7 years of experience in Logistics, Transportation, Supply Chain, or Distribution.
- Robust experience in logistics operations and shipment tracking.
- Experience managing multiple transporters and delivery locations.
- Experience in logistics MIS, freight tracking, and performance reporting.
- Experience in project-based, institutional, education, government, or multi-location logistics will be preferred.
