Key Responsibilities

Procurement & Vendor Management

Manage end-to-end procurement activities for all café requirements.

Source high-quality food ingredients, beverages, bakery products, dairy items, packaging materials, cleaning supplies, and kitchen consumables.

Identify, evaluate, negotiate, and onboard new vendors while maintaining robust relationships with existing suppliers.

Conduct periodic vendor performance evaluations based on quality, pricing, delivery timelines, and service standards.

Negotiate commercial terms, pricing, payment terms, and annual contracts to achieve cost savings.

Inventory & Supply Chain

Coordinate with café operations and kitchen teams to ensure uninterrupted availability of materials.

Monitor inventory levels and maintain optimum stock to avoid shortages or excess inventory.

Plan purchases based on consumption trends, forecasts, and seasonal business requirements.

Coordinate timely deliveries and resolve supply chain issues proactively.

Cost Control & Budget Management





Compare quotations and prepare comparative statements for management approval.

Identify cost optimization opportunities without compromising quality.

Track purchase budgets and prepare procurement cost analysis reports.

Monitor market price trends and recommend alternative sourcing strategies.

Documentation & Compliance

Prepare Purchase Orders (POs) and maintain procurement documentation.

Ensure all purchases comply with company procurement policies and approval matrices.

Maintain records of supplier agreements, invoices, delivery challans, and purchase reports.

Coordinate with Finance for invoice verification and timely vendor payments.

Quality Assurance

Ensure procured materials meet food safety and quality standards.

Coordinate with kitchen and quality teams regarding vendor quality issues and product replacements.

Monitor expiry dates and shelf-life requirements for perishable goods.
