Job Description: Procurement & Project Coordination Manager – Civil

Role Purpose

A single site-based role combining material procurement and project coordination, sized for MV Group's current scale — one person owns both material availability and planning/documentation for the site, instead of splitting these across two positions. The role raises and tracks material indents against the site's Weekly Look-Ahead Plan, and in parallel owns the site's coordination touchpoints — DPR, RFI tracking, approvals, and PMO reporting — acting as the site's single point of contact for procurement and planning matters.

Key Responsibilities

Procurement
- Raise Material Indent Forms (MIF) against the Weekly Look-Ahead Plan, with adequate lead time for each material category.
- Follow up with vendors on delivery schedules for approved POs; escalate delays that threaten the look-ahead plan.




- Maintain site-level material stock and consumption records; flag shortfalls before they affect execution.
- Coordinate with the Site Engineer/Supervisor to confirm quantities and specifications before raising indents.
- Inspect incoming material for quantity and quality against PO/delivery challan, and record discrepancies.
- Maintain local vendor contacts for emergency/small-value purchases within petty DOA limits.
- Update the Procurement Tracker with site-level status (received, pending, short) on a daily/weekly basis.

Project Coordination
- Circulate the Weekly Look-Ahead Plan and Daily Progress Report (DPR) for the site.
- Consolidate site inputs into the PMO Weekly System dashboard, flagging amber/red items for the COO.
- Track RFI and drawing-issue status between design and the site team, following up on open queries.
- Track approvals through the DOA Matrix and log Variation/Change Order Forms as they arise.
