Job Purpose

The Admin Executive will be responsible for managing plant security, company vehicles, employee transportation, contract labour coordination and general administrative activities. The role requires robust supervision, vendor coordination, documentation and discipline management.

Key ResponsibilitiesSecurity Management
- Supervise security guards and ensure proper deployment at all company locations.
- Monitor employee, visitor, contractor, vehicle and material movement.
- Ensure proper maintenance of gate registers, visitor records, inward/outward registers and material gate passes.
- Conduct regular security rounds and report any security breach, misconduct, theft or safety concern.
- Coordinate with security agencies regarding manpower deployment, attendance, replacement and performance.
- Ensure security personnel follow company SOPs, shift schedules and emergency-response procedures.
- Monitor CCTV operations and maintain records of security incidents.
- Support investigations relating to asset damage, theft, misconduct or unauthorized entry.





Vehicle and Transportation Management
- Manage company-owned vehicles, buses, drivers and employee transportation.
- Prepare daily vehicle and driver deployment schedules according to operational requirements.
- Monitor fuel consumption, mileage, FASTag, servicing, insurance, pollution certificates and vehicle documentation.
- Maintain vehicle logbooks, repair records, maintenance schedules and expense records.
- Coordinate employee pickup and drop routes and resolve transportation-related issues.
- Ensure drivers follow duty schedules, traffic rules, safety standards and company discipline.
- Coordinate with garages, transport vendors and service agencies.
- Verify vendor bills, fuel bills and vehicle maintenance expenses before submission for approval.
- Immediately report accidents, vehicle damage, breakdowns or misuse of company vehicles.
