To provide high-level executive support to the Executive Directors by managing schedules, coordinating meetings, driving follow-ups, facilitating communication, and ensuring seamless execution of key business priorities. The role requires exceptional organizational skills, stakeholder management capabilities, confidentiality, and the ability to work closely with senior leadership across the organization.
Role & responsibilities
- Manage and optimize Executive Directors' calendars, ensuring effective scheduling of meetings, appointments, travel, and business engagements.
- Coordinate internal and external meetings, including preparation of agendas, presentations, briefing notes, meeting minutes, and related documentation.
- Prepare executive summaries, reports, dashboards, and updates to support informed decision-making.
- Track action items arising from meetings, drive follow-ups with senior leaders and Heads of Departments, and provide regular status updates to the Executive Directors.
- Actively manage and monitor key Executive Office agendas, ensuring timely execution of commitments and deliverables.
- Draft and manage professional correspondence, emails, memos, and communications on behalf of the Executive Directors.
- Serve as a key liaison between the Executive Directors and internal/external stakeholders, ensuring effective communication and coordination.
- Maintain organized records of contracts, business documents, presentations, reports,
and confidential files.
- Develop and maintain trackers for projects, tasks, deadlines, business reviews, and organizational priorities.
- Proactively identify critical issues, escalate priorities, and ensure leadership focus on strategic matters.
- Build strong cross-functional relationships to facilitate collaboration and alignment across departments.
- Organize and facilitate leadership meetings, reviews, and discussions with external partners, including documentation of outcomes and follow-up on agreed actions.
- Handle sensitive information with the highest level of professionalism, discretion, and confidentiality.
- Travel regularly with Executive Directors to Gurgaon, Noida, and other business locations as required.
Preferred candidate profile
- Graduate/Postgraduate in Business Administration, Management, Commerce, or a related discipline.
- 6 to 10 years of experience as an Executive Assistant, Executive Coordinator, Chief of Staff Support, or similar role supporting senior leadership.
- Robust proficiency in MS Office Suite, presentation preparation, reporting, and documentation.
- Excellent communication, stakeholder management, organizational, and multitasking skills.
- Ability to work in a fast-paced environment while managing multiple priorities and deadlines.
- High level of integrity, professionalism, and attention to detail.
