Job Summary

We are seeking an experienced individual - Facilities, Compliance Administration to oversee facility operations, statutory compliance, utilities management, fire safety, vendor management, housekeeping, security, pest control, and general administration across multiple healthcare centers. The role requires ensuring regulatory compliance, maintaining infrastructure uptime, driving operational excellence, managing outsourced services, and delivering a secure and compliant environment for patients, staff, and visitors.

Responsibilities

Regulatory Compliance Licensing

- Ensure 100% compliance with all statutory, legal, and regulatory requirements.
- Track and monitor all licenses through compliance management systems.
- Coordinate timely renewal of statutory licenses and approvals.
- Handle legal notices related to facility operations and ensure timely responses.
- Liaise with government authorities for permissions, inspections, and regulatory submissions.
- Ensure timely submission of BMW reports and other mandatory regulatory reports.

Facilities Management

- Maintenance: Manage preventive and breakdown maintenance activities across centers.
- Monitor closure of maintenance requests and service tickets within agreed timelines.
- Conduct monthly facility inspections and ensure timely closure of observations.
- Maintain infrastructure reliability and operational readiness of all facilities.

Utilities Management

- Oversee HVAC systems, air validation testing, HEPA and carbon filter replacement programs.
- Ensure preventive maintenance of DG sets, UPS systems, RO plants, and utility equipment.
- Monitor ETP operations and water quality testing as per regulatory requirements.
- Ensure uninterrupted power supply to critical laboratory and clinical equipment.




- Drive electricity and diesel consumption optimization initiatives.
- Manage utility contracts, AMCs, and vendor agreements.

Fire Safety Management

- Ensure compliance with all fire and life safety regulations.
- Conduct periodic fire audits and ensure timely closure of findings.
- Organize quarterly mock drills and emergency response exercises.
- Drive employee fire safety training programs.
- Maintain fire-fighting equipment and emergency preparedness systems.
- Monitor fire-related audit observations and corrective actions.

Vendor Outsourced Service Management

- Manage housekeeping, security, pest control, and other facility service partners.
- Ensure contract compliance, attendance monitoring, background verification, and statutory compliance of outsourced staff.
- Monitor service quality, SLA achievement, and customer satisfaction levels.
- Conduct periodic vendor performance reviews and audits.
- Ensure pest control activities are completed as per schedule and service standards.

General Operations

- Ensure operational audits and facility compliance audits are completed as planned.
- Support safety committee activities and workplace safety initiatives.
- Coordinate ambulance audits and operational reviews.
- Drive continuous improvement and cost optimization initiatives.
- Ensure operational expenses remain within approved budgets.

Qualifications

- Bachelors Degree in Engineering / Facilities Management / Administration / Operations Management. Additional certifications in Facility Management, Fire Safety, or EHS will be preferred.
