Job Title: Multi-Tasking Executive E-Commerce, Website & Legal Coordination
Job Overview
We are looking for a reliable, energetic, and multi-skilled executive to handle back-office administration, online order processing, website management, legal documentation, and field coordination.
The selected candidate will work closely with management and coordinate with customers, warehouses, website developers, advocates, courts, government departments, banks, and other institutions. The position involves both office-based responsibilities and regular local or outstation travel.
Key Responsibilities
Back-Office and Order Processing
- Process orders received through company websites and online marketplaces.
- Verify customer information, payments, product availability, and shipping details.
- Coordinate with production facilities, warehouses, courier companies, and customers.
- Prepare invoices, packing instructions, shipment documents, and tracking updates.
- Monitor pending, custom-made, domestic, and international orders until delivery.
- Handle customer inquiries regarding orders, shipping, returns, replacements, and refunds.
- Maintain accurate order records, spreadsheets, reports, and digital files.
- Draft skilled emails, business letters, quotations, and other correspondence.
Website Development and Management
- Manage and regularly update the company’s e-commerce websites.
- Add and update products, prices, descriptions, images, inventory, categories, and promotions.
- Create basic product pages, landing pages, banners, and website content.
- Identify and resolve basic website, checkout, product-listing, and content issues.
- Coordinate with external developers, designers, hosting providers, and marketing teams.
- Assist with basic SEO, digital marketing, email campaigns, and social-media updates.
- Basic knowledge of Shopify, WordPress, Laravel, HTML, CSS, hosting, domains, and databases is preferred.
Legal Documentation and Coordination
- Maintain company legal files, case records,
court orders, applications, and supporting documents.
- Assist management and advocates in preparing basic letters, representations, document lists, and applications.
- Monitor case status, hearing dates, filing details, acknowledgements, and follow-up requirements.
- Conduct basic online research relating to Indian laws, court procedures, land records, and government processes.
- Coordinate with advocates and authorized legal professionals.
- Apply for and collect certified copies, court orders, registration documents, land records, encumbrance certificates, and other official records.
- Maintain confidentiality of all company, customer, financial, and legal information.
Field Executive Responsibilities
- Visit courts, tribunals, advocate offices, government departments, banks, Sub-Registrar Offices, Taluk Offices, Collectorates, and municipal authorities.
- Submit applications, letters, affidavits, and supporting documents as authorized by management.
- Obtain acknowledgements and follow up on pending applications and legal matters.
- Collect certified copies, orders, certificates, records, and other official documents.
- Attend meetings with advocates, government officials, vendors, and business associates.
- Submit a clear report after every field visit, including documents submitted, persons contacted, acknowledgement received, present status, and next follow-up date.
Travel and Management Support
- Travel locally and outstation whenever required for company work.
- Coordinate meetings, appointments, transport, accommodation, and documentation.
- Handle urgent and time-sensitive assignments responsibly.
- Perform other administrative, technical, operational, or coordination duties assigned by management.
Required Qualifications
- Bachelor’s degree or diploma in Commerce, Business Administration, Computer Applications, Information Technology, Law, or a related field.
- Experience in back-office administration, e-commerce, legal-office work, or website management is preferred.
- Good computer knowledge, including Microsoft Word, Excel, email, internet research, and PDF handling.
- Basic understanding of Indian laws, court procedures, and government-office processes.
- Good written and spoken English and Tamil.
- Knowledge of Hindi or another Indian language will be an advantage.
- Valid driving licence for MCWG and own two-wheeler are preferred.
- Willingness to travel locally and outstation is essential.
