Job Summary

We are looking for a proactive and detail-oriented Vendor Manager to support the development and launch of new skincare products. The role will involve coordinating with multiple external vendors, manufacturers, packaging suppliers, and other partners throughout the product development cycle — from initial discussions and sampling to commercial production and final delivery.

The candidate will act as a key coordination point between the company and external vendors to ensure products are developed as per the required quality, specifications, timelines, and commercial requirements.

Key Responsibilities

1. New Product Development

- Coordinate with multiple vendors and manufacturers for the development of new skincare products.
- Understand product requirements, specifications, target pricing, packaging requirements, and expected timelines.
- Identify and communicate with suitable third-party manufacturers.
- Coordinate the product development process from initial enquiry to sampling, approvals, production, and launch.
- Follow up with vendors on product development timelines and ensure milestones are achieved within the agreed timelines.

2. Sampling & Product Trials

- Coordinate with manufacturers and vendors for product samples, prototypes, formulations, and trial batches.
- Arrange multiple samples wherever required for comparison and evaluation.
- Maintain records of samples received, specifications, vendor details, pricing, and feedback.
- Coordinate revisions and improvements based on internal feedback and ensure vendors provide revised samples within timelines.
- Track sample approvals and maintain proper documentation for the final approved product.

3. Vendor Management

- Identify, evaluate, and coordinate with new vendors based on quality, pricing, capabilities, MOQ, lead time, and production capacity.
- Manage communication and follow-ups with multiple vendors simultaneously.
- Collect and verify vendor documentation, company details, certifications, quotations,



and other required documents.
- Coordinate vendor onboarding and vendor code creation.
- Develop and maintain strong working relationships with manufacturers and suppliers.
- Monitor vendor performance and escalate delays, quality concerns, or other issues when required.

4. Procurement & Commercial Coordination

- Obtain and compare quotations from multiple vendors.
- Coordinate price negotiations, MOQ, payment terms, lead times, and other commercial terms.
- Prepare and coordinate Purchase Orders (POs) as per approved requirements.
- Coordinate procurement of raw materials, packaging materials, labels, containers, cartons, and other product-related materials.
- Ensure materials are available as per the product development and production schedule.

5. Documentation & MIS

- Maintain proper records of vendors, quotations, samples, product specifications, approvals, POs, invoices, GRNs, and delivery details.
- Verify GRNs, invoices, purchase documents, and vendor bills for discrepancies.
- Prepare regular MIS reports.

- Strong problem-solving and coordination abilities.
- Ability to work under tight deadlines, particularly during new product launches.

Preferred Experience

- 1–4 years of experience in product development, vendor management, sourcing, cosmetics, skincare, beauty, or a related industry.
- Experience in coordinating with third-party manufacturers, contract manufacturers, packaging vendors will be preferred.
- Experience in skincare/cosmetics/ product development will be an added advantage.
