About the Role

We are looking for a warm, organized, and customer-focused Clinic Coordinator to become one of the founding members of our team.

This role is much more than managing the reception desk. You will create a positive experience for children and families, coordinate appointments, support therapists, and help ensure the smooth day-to-day operation of the centre.

Key Responsibilities

Parent & Child Experience
Welcome children and families with warmth and professionalism.
Create a calm,



child-friendly reception workplace.
Build positive relationships with parents and caregivers.
Answer enquiries in person, over the phone, WhatsApp, and email.
Assist families with appointments, registrations, and follow-ups.

Appointment Management
Schedule, reschedule, and confirm appointments.
Manage therapist calendars efficiently.
Minimize missed appointments through reminders.
Coordinate therapy schedules and room availability.

Administration
Maintain child records and clinic documentation.
Prepare invoices and collect payments.
Handle billing, receipts, and daily cash reconciliation.
Update therapy attendance records.
Manage office supplies and therapy materials.

Communication
Respond promptly to enquiries from parents.
Coordinate with therapists regarding schedules and follow-ups.
Maintain confidentiality of child and family information.
