1. Job Purpose
The Senior Facility Incharge is responsible for the end-to-end management of security and housekeeping operations across the DPS Panvel campus. The role ensures a safe, secure, clean, and well-maintained setting for students, staff, and visitors at all times, through direct supervision of ground staff, vendor coordination, compliance oversight, and rapid response to operational or emergency issues.
1. Key Responsibilities
A. Security Management
1. Plan, implement, and monitor campus-wide security protocols covering perimeter access, gate control, visitor management, and CCTV surveillance.
2. Supervise all security personnel (in-house and outsourced/contracted), ensuring adequate shift coverage, punctuality, and adherence to duty checklists.
3. Arrange standby/backup manpower to cover high-absenteeism days, ensuring shift coverage is never compromised.
4. Enforce visitor and vendor entry procedures, including ID verification, log maintenance, and escort protocols where required.
5. Conduct regular security audits and surprise checks; maintain incident logs and escalate breaches immediately to school leadership.
6. Coordinate with local police and emergency services as required; maintain updated emergency contact protocols.
7. Oversee CCTV system functionality, storage, and periodic review; flag equipment faults for repair without delay.
8. Lead emergency preparedness efforts fire drills, evacuation drills, lockdown protocols — in coordination with school administration.
9. Manage traffic and vehicle movement within campus, including parking discipline and student pick-up/drop-off safety.
B. Housekeeping Management
1. Supervise daily cleaning and sanitation operations across classrooms, common areas, washrooms, administrative blocks, playgrounds, and campus exteriors.
2. Develop and enforce cleaning schedules, checklists, and quality standards for all housekeeping staff and contracted vendors.
3. Ensure timely procurement and stock management of housekeeping consumables (cleaning materials, sanitation supplies, PPE).
4. Monitor pest control, waste disposal,
and sanitation compliance in line with health and safety norms.
5. Conduct routine facility walkthroughs to identify maintenance or cleanliness gaps and initiate corrective action.
6. Coordinate deep-cleaning and special sanitation drives ahead of events, exams, or as seasonally required.
7. Arrange standby/backup housekeeping manpower to cover high-absenteeism days, ensuring no disruption to daily cleaning schedules.
C. Vendor & Contract Management
1. Manage relationships with third-party security and housekeeping agencies, including SLA adherence, manpower deployment, and billing verification.
2. Evaluate vendor performance periodically; recommend renewals, renegotiations, or replacements.
3. Ensure all outsourced staff have valid documentation, verification, and statutory compliance (police verification, ESIC/PF where applicable).
4. Identify, assess, and empanel backup security and housekeeping agencies in the local area, so an alternate vendor can be activated without disruption in case of non-performance, contract termination, or emergency vendor change.
5. Maintain and periodically update a ready-reference list of local/nearby agencies capable of servicing an institutional campus, including their service scope, manpower capacity, and pricing, for quick evaluation when a backup or replacement vendor is needed. D. Staff Supervision & Training
6. Recruit, train, and supervise in-house security and housekeeping staff, including onboarding and periodic refresher training.
7. Prepare and manage duty rosters, leave planning, and attendance for facility staff.
8. Conduct performance reviews and enforce discipline/grievance handling for facility teams.
9. Build a culture of accountability, punctuality, and service orientation among ground staff.
E. Compliance, Safety &
• Reporting
1. Ensure compliance with statutory and regulatory requirements related to fire safety, building safety, labour laws, and school safety norms (as applicable under CBSE/state guidelines).
2. Maintain and update all facility-related registers, licenses, and audit documentation.
3.
Prepare periodic reports (daily/weekly/monthly) for school leadership on security incidents, housekeeping status, staff attendance, and vendor performance.
4. Support internal and external audits (safety, hygiene, statutory) with accurate documentation and readiness.
F. Budget &
• Cost Control
1. Assist in preparing the annual facility budget covering security, housekeeping, and consumables.
2. Monitor expenses against budget; identify cost-saving opportunities without compromising service quality.
3. Verify and approve vendor invoices in coordination with the administration/finance team.

1. Qualifications &
• Experience
- Graduate in any discipline; a diploma/certification in Facility Management, Security Management, or Industrial Safety is preferred.
- 8–12 years of experience in facility, security, or housekeeping management, with at least 3–4 years in a supervisory/leadership capacity.
- Prior experience in a school, institutional campus, hospitality, or large facility environment strongly preferred.
- Ex-servicemen or candidates with a security/defense background are an added advantage for the security component of the role.

1. Working Conditions
- On-campus, full-time role requiring physical presence during school operational hours.
- May require early arrival/late departure to oversee shift handovers and gate operations.
