Roles & Responsibilities: Sales CoordinatorPosition Summary The Sales Coordinator acts as the central point of coordination between customers, the sales team, and management, ensuring smooth communication, timely follow-ups, accurate CRM data, and well-prepared sales proposals. The role is critical in supporting the sales pipeline and enabling faster decision-making for the MD/management.
Key Roles & Responsibilities
1. Customer Follow-Up
- Follow up with customers on open inquiries, quotations, and pending orders to move opportunities toward closure.
- Track customer responses and ensure timely replies to queries, technical clarifications, or commercial negotiations.
- Maintain a follow-up calendar/tracker for all active leads and customers, ensuring no inquiry is missed.
- Escalate delayed or stalled customer responses to the concerned salesperson or MD as needed.
- Gather customer feedback post-sale/post-delivery and route it to the relevant team for action.
1. Sales Team Follow-Up
- Coordinate with the sales team to track status of leads, site visits, meetings, and ongoing negotiations.
- Follow up with salespeople for daily/weekly sales activity reports and pending action items.
- Ensure sales team adheres to internal timelines for quotations, proposals, and customer commitments.
- Consolidate inputs from multiple salespeople into a unified pipeline view for management review.
- Remind and support sales staff on document submission, approvals, and order processing requirements.
1. CRM Management & Updates
- Maintain accurate and up-to-date records of leads, opportunities,
customer interactions, and order status in the CRM system.
- Ensure all customer communications, follow-ups, and proposal statuses are logged in real time.
- Generate CRM reports (pipeline status, conversion rates, follow-up pending, etc.) for management review.
- Flag data gaps or inconsistencies in CRM and coordinate with the sales team for corrections.
- Support CRM-based forecasting and reporting for sales review meetings.
1. Proposal Preparation
- Prepare commercial and technical proposals/quotations based on inputs from the sales team and customer requirements.
- Ensure proposals are accurate, well-formatted, and aligned with company pricing, terms, and specifications.
- Coordinate with technical/engineering teams to gather necessary inputs for customized proposals.
- Maintain a repository of proposal templates, past quotations, and pricing references for quick turnaround.
- Track proposal status (sent, under negotiation, approved, rejected) and update CRM accordingly.
1. Coordination with MD
- Provide the MD with regular updates on sales pipeline status, key account developments, and pending approvals.
- Prepare summary reports/dashboards for MD review (daily/weekly/monthly sales status).
- Coordinate scheduling of MD's customer meetings, calls, and follow-ups where required.
- Relay MD's directives/decisions back to the sales team and ensure timely execution.
- Flag high-priority customer issues or escalations directly to the MD for quick resolution.
- Support MD in decision-making by providing ready data (quotation history, customer background, order value, etc.).
Additional Skills & Qualities
- Robust organizational and multi-tasking skills to manage multiple follow-ups simultaneously.
- Excellent written and verbal communication for customer and internal coordination.
- Proficiency in CRM tools (Zoho, Salesforce, HubSpot, or similar) and MS Office (Excel, Word, PowerPoint).
- Attention to detail, especially in proposal preparation and data accuracy.
- Ability to work under pressure and manage priorities across multiple stakeholders.
- Proactive follow-through and ownership mindset — doesn't wait to be reminded on pending tasks.
- Discretion and professionalism while coordinating with senior management (MD).

- Follow-up turnaround time (customer & sales team)

- Timeliness of reports/updates shared with MD
Pay: ₹25,000.00 - ₹40,000.00 per month
