We are looking for a responsible and hands-on HR professional to manage day-to-day HR and administration activities in a manufacturing environment. The role will cover manpower planning, worker hiring and onboarding, attendance and payroll coordination, PF/ESI compliance, employee grievance handling, statutory records, HR documentation, audit preparation and follow-up, and general HR administration.

Key Responsibilities Recruitment & Manpower

- Handle end-to-end recruitment for factory workers and staff, including helpers, semi-skilled and skilled workers, stitchers, attachers and other production manpower.
- Coordinate with recruitment agencies, local sources, references and other manpower channels to meet production manpower requirements.
- Conduct preliminary screening, interview coordination, salary discussions and selection follow-up.
- Prepare and maintain candidate records, joining documents and employee personal files.
- Coordinate joining formalities, induction, orientation and department allocation for new employees.
- Track vacancies, manpower requirements, joining status and attrition; prepare regular recruitment updates for management.
- Support worker retention initiatives and identify manpower shortages in coordination with Production and other departments.

Attendance, Payroll & Employee Records
- Monitor daily attendance, absenteeism, late coming, overtime and leave records.
- Coordinate monthly payroll inputs including attendance, leave, overtime, deductions, incentives, attendance bonus and other salary-related inputs.
- Maintain employee master data, personal files, joining and separation records.
- Handle resignation, exit formalities, full and final settlement coordination and employment confirmation documentation.
- Respond to employee queries relating to salary, attendance, PF, ESI, leave and other HR matters.

Statutory Compliance PF / ESI & Related
- Coordinate EPF and ESI monthly compliance, contribution details, challans, returns and employee-related corrections.
- Review ECR/PF data and coordinate resolution of portal errors, contribution mismatches,



EPS-related issues and arrears where applicable.
- Handle ESI-related employee documentation, Form 10 / leave-related follow-up and correspondence with the ESI office.
- Maintain statutory registers, records and supporting documents required for inspections and audits.
- Coordinate with external consultants and statutory authorities whenever required.

Audit, Compliance & Reporting
- Prepare and maintain HR records and supporting documents for SA8000, Sedex/SMETA and other customer or social compliance audits.
- Support internal and external audits by preparing employee files, attendance, wage, leave, statutory compliance, training, grievance and other required records.
- Prepare audit evidence and supporting documents and coordinate timely submission/upload of corrective action documents.
- Track audit non-conformities (NCs), corrective action plans, responsibility, target dates and closure status.
- Maintain audit reports, NC registers, CAPA records, evidence files and follow-up documentation.
- Support Management Review Meeting (MRM), internal audit and self-assessment activities by providing required HR data and records.
- Ensure HR practices are aligned with company policies, labour-law requirements and applicable customer/social compliance standards.

Employee Relations & Worker Welfare
- Handle worker grievances and coordinate timely resolution with management and concerned departments.
- Communicate HR policies, company rules, attendance requirements, disciplinary procedures and employee welfare initiatives.
- Coordinate worker accommodation, transport, canteen and other welfare-related HR/Admin activities as assigned.
- Support disciplinary actions, warning letters, counselling and documentation in accordance with company procedures.
- Maintain confidentiality of employee information and HR records.

Training & Development
- Coordinate induction and orientation programs for new joiners.
- Maintain training calendars, attendance sheets, training records and certificates.
- Coordinate skill development and awareness training for workers and staff.
- Support statutory, safety, first-aid,



HR policy and social-compliance-related training programs.

HR Administration
- Prepare HR letters, notices, memos, agreements, employment confirmations and other HR documents.
- Maintain HR MIS and prepare reports on headcount, recruitment, turnover, absenteeism, overtime, manpower cost and other HR indicators.
- Coordinate with Finance, Production, Quality, Stores, Maintenance and other departments on HR/Admin requirements.
- Maintain organized physical and digital HR records and ensure documents are readily available for management and audit requirements.

Required Skills & Qualifications
- Bachelor's degree in HR, Business Administration, Commerce or a related discipline; HR qualification is an advantage.
- 25 years of practical HR experience, preferably in a factory/manufacturing environment.
- Hands-on experience in worker recruitment and high-volume manpower hiring.
- Working knowledge of EPF, ESI, attendance, payroll and basic labour-law compliance.
- Experience in SA8000, Sedex/SMETA or similar social compliance audit documentation is preferred.
- Valuable communication, coordination, problem-solving and employee-handling skills.
- Good knowledge of MS Excel, Word and HR documentation.
- Ability to work independently, manage multiple priorities and meet compliance deadlines.

- PF/ESI compliance and timely resolution of statutory issues.

- Employee grievance resolution and worker welfare support.
- Timely submission of HR MIS and management reports.
