To manage and coordinate the company's activities on the Government e-Marketplace (GeM) portal, including product listing, tender/bid participation, order processing, documentation, customer coordination, and post-order support, ensuring timely and compliant execution of government business.
Key Responsibilities1. GeM Portal Management
- Manage day-to-day activities on the GeM portal.
- Create, update and maintain company and product information on GeM.
- Ensure product descriptions, specifications, pricing, certifications and other details are accurate and updated.
- Monitor product visibility, catalogue status and compliance requirements.
- Coordinate with internal departments for product and technical information.
1. Tender & Bid Management
- Regularly monitor GeM for relevant tenders, bids, reverse auctions and government procurement opportunities.
- Evaluate tender eligibility, technical specifications, commercial requirements and submission timelines.
- Prepare and submit bids, quotations and required documents within prescribed deadlines.
- Coordinate with Sales, Technical, Finance, QA/RA and Management teams for bid preparation.
- Maintain a database/tracker of participated bids, results, orders and pending actions.
- Monitor reverse auction activities and coordinate internally for commercial decisions.
1. Documentation & Compliance
- Prepare and maintain all documents required for GeM bids and orders.
- Ensure timely submission of declarations, undertakings, certificates, authorizations and other statutory documents.
- Maintain records of company registrations, licences,
certifications and other documents required for government procurement.
- Ensure compliance with GeM terms, conditions and applicable government procurement requirements.
- Track expiry dates of important documents and coordinate for timely renewal.
1. Order Management
- Monitor GeM purchase orders from receipt to successful closure.
- Coordinate with Production, Warehouse, Logistics, Finance and Sales for timely order execution.
- Track delivery schedules and ensure adherence to committed timelines.
- Coordinate invoice generation, dispatch documentation and payment-related requirements.
- Monitor order acceptance, delivery confirmation and other portal-related activities.
1. Customer & Government Coordination
- Coordinate with government departments, hospitals, institutions and other GeM buyers regarding orders, specifications, documentation and delivery.
- Respond to buyer queries and resolve routine portal/order-related issues.
- Coordinate with relevant internal teams for technical or commercial clarifications.
- Follow up for order acceptance, installation, commissioning and completion documentation, wherever applicable.
1. Payment & Reconciliation
- Coordinate with Finance for invoice submission and payment follow-up.
- Track outstanding payments against GeM orders.
- Monitor order-wise billing, deductions, penalties and other commercial adjustments.
- Maintain appropriate records for reconciliation.
1. MIS & Reporting
- Prepare periodic reports on:
- Bids participated
- Bids won/lost
- Orders received
- Order value
- Pending deliveries
- Pending payments
- Tender pipeline
- Sales performance through GeM
- Maintain accurate GeM-related databases and trackers.
- Provide management with regular updates on government business opportunities and order status.
Required Skills
- Good working knowledge of the GeM portal and government procurement process.
- Strong knowledge of MS Excel, Word and PowerPoint.
- Good documentation and record-management skills.
- Strong follow-up and coordination skills.
- Positive written and verbal communication.
- Ability to understand technical specifications and tender documents.
- Attention to detail and ability to work with strict deadlines.
- Good analytical and negotiation skills.
- Ability to coordinate effectively with multiple departments.
Qualification & Experience
Education:
Graduate in any discipline. Candidates with qualifications in Commerce, Business Administration, Life Sciences, Pharmacy or related fields may be preferred.
Experience:
- 2–5 years of experience in GeM operations, government tenders, e-procurement, sales operations or commercial coordination.
- Prior experience in medical devices, diagnostics, healthcare, pharmaceuticals or related industries would be an advantage.
Pay: ₹20,000.00 - ₹35,000.00 per month
