About Medhavi Skills University

Role Overview:

The Executive - Project Coordinator and Communication combines end-to-end project coordination — planning, tracking and reporting on deliverables and timelines across academic, delivery, R&D; and new initiative workstreams — with structured stakeholder communication, ensuring internal teams, industry partners, SMEs and leadership stay aligned on status, decisions and next steps. The role is the connective layer between planning (what needs to happen, by when) and communication (who needs to know, and how).

Key Responsibilities:

Project Coordination

- Develop and maintain project plans, timelines and milestone trackers for assigned initiatives across

- Academic Development, delivery, and/or strategic initiatives.

- Track deliverable status against plan, flag slippage early, and follow up with responsible owners to keep initiatives on schedule.

- Coordinate cross-functional dependencies — e.g., aligning curriculum-development timelines with delivery-team readiness, or R&D; proposal deadlines with leadership review windows.

- Organise and document project review meetings — agendas, minutes, action-item tracking and follow-up.

- Maintain a consolidated project dashboard/status report for leadership, summarising progress, risks and action items across active initiatives.

- Support budget, resource and vendor/partner coordination for assigned projects as required.

Communication

- Draft and manage structured communication with internal teams, industry partners, SMEs and students — status updates, meeting invites,



follow-ups and circulars.

- Ensure consistent messaging and documentation flow between the Academic Development, delivery and R&D; functions, avoiding duplicated or conflicting communication to shared stakeholders.

- Prepare presentation material, status decks and summary notes for leadership and external-partner communication.

- Serve as a coordination point of contact for cross-portfolio queries, routing issues to the correct functional owner and tracking resolution.

Qualifications &

Skills Required:

- Graduate/Postgraduate in Engineering, Management, Business Administration, Communications, or a related discipline;

- 3–6 years of experience in project coordination, programme management support, or a combined communications-and-coordination role, ideally spanning multiple concurrent workstreams or stakeholder groups.

- Project planning and tracking skills (timelines, milestone trackers, dependency mapping)

- Excellent written and verbal communication, with the ability to tailor messaging to internal, academic-SME and industry-partner audiences

- Proficiency with project-tracking tools (e.g., Excel/Google Sheets, other new tools) and MS Office/Google Workspace

- Strong cross-functional coordination ability — comfortable working across academic, delivery and research teams simultaneously

- Attention to detail in status reporting, documentation and follow-through

- Proactive, organised, and able to work with defined autonomy while keeping leadership informed.
