About the Role
We are looking for an experienced U.S. Payroll & Multi-State Compliance Specialist to support our U.S. staffing and workforce operations from India.
The ideal candidate should have strong hands-on experience with U.S. multi-state payroll, state registrations, payroll tax compliance, payroll providers, and accounting systems.
This role requires someone who can independently manage payroll accounts, process payroll through third-party payroll platforms, monitor compliance requirements, and coordinate with internal teams, clients, payroll providers, and government agencies.
Key Responsibilities
- Manage and process U.S. payroll for employees/workers across multiple states.
- Maintain and manage payroll accounts with ADP, Gusto, QuickBooks Payroll, Paychex, Rippling, and other U.S. payroll providers.
- Run payroll regularly through payroll provider websites, including reviewing payroll inputs, deductions, taxes, employee information, and payroll reports.
- Handle multi-state payroll compliance, including state and local payroll tax requirements.
- Assist with multi-state employer registrations for payroll tax and employment-related accounts.
- Monitor state-specific requirements for withholding, unemployment insurance, payroll taxes, and related filings.
- Maintain accurate payroll and employer accounts with various state agencies and payroll providers.
- Reconcile payroll reports, payroll taxes, deductions, and employer liabilities.
- Review payroll for accuracy before submission and identify discrepancies or compliance issues.
- Coordinate with payroll providers and government agencies to resolve account, tax, registration, and filing issues.
- Maintain accurate employee and employer payroll records and documentation.
- Support W-2, 1099,
quarterly payroll filings, year-end payroll activities, and payroll reconciliations.
- Assist with payroll audits and compliance reviews.
- Stay current with changes in U.S. federal, state, and local payroll regulations.
- Work closely with HR and staffing teams on employee onboarding, payroll setup, tax forms, and employee status changes.
- Maintain strict confidentiality of sensitive employee, payroll, tax, and financial information.
Required Qualifications
✅ 3+ years of hands-on experience in U.S. payroll and payroll compliance
✅ Strong understanding of multi-state U.S. payroll
✅ Experience with state payroll tax registrations and employer account setup
✅ Hands-on experience with ADP, Gusto, QuickBooks Payroll, Paychex, Rippling, or similar systems
✅ Experience independently navigating payroll provider websites and running regular payroll cycles
✅ Understanding of U.S. payroll taxes, withholding, unemployment taxes, and employer payroll obligations
✅ Strong accounting and reconciliation skills
✅ Experience working with U.S.-based companies, staffing companies, or qualified services organizations is highly preferred
✅ Strong attention to detail and ability to handle confidential information
✅ Excellent written and verbal communication skills
✅ Ability to work independently and support U.S. operations remotely from India
CPA Requirement A U.S. CPA license is preferred/required depending on the level of the position.
Candidates with CPA experience combined with robust hands-on U.S. payroll, accounting, and multi-state compliance experience are encouraged to apply.
