About the Company
We are seeking a detail-oriented and organized Account Associate to support the accounting and financial operations of U.S.-based construction projects.
The role will involve managing invoices, maintaining financial records, updating Schedules of Values (SOVs), tracking expenses, assisting with reconciliations and financial closing, and coordinating with Project Managers, subcontractors, and suppliers.
The ideal candidate should have robust accounting fundamentals, excellent attention to detail, good Excel and QuickBooks knowledge, and strong English communication skills.
Roles and Responsibilities
- Maintain a detailed log of all company and project-related transactions, including storing, organizing, and labeling the backups properly (i.e., invoices, receipts, lien waivers, etc.).
- Maintain and update Schedules of Values (SOVs) for accurate project billing from subcontractors or suppliers.
- Handle the management and filing of all invoices, ensuring they are accurate and processed in a timely manner.
- Manage and categorize expenses to maintain accurate financial records and reporting.
- Reconcile accounts and assist with financial closing processes.
- Ensure compliance with financial regulations and standards specific to the construction industry.
- Assist in tax preparation and filing, including managing W9, W2, and other tax-related documents.
- Liaise with project managers to align financial reporting with project budgets, proper allocations, and projections.
- Use QuickBooks for construction financial management.
- Collaborate with external auditors to validate financial practices and records during audits.
- Analyze financial data (on a monthly, quarterly, and annual basis)
and prepare detailed reports to support decision-making for construction projects.
- Draft and send emails to counterparties regarding invoicing and other financials updates/questions.
Skills and Qualifications
- Bachelor’s degree in Accounting, Finance, or related field; Master’s degree or CPA is preferred.
- Expert-level MS Excel and QuickBooks experience/knowledge is required, preferably within a construction context.
- Solid understanding of GAAP and financial principles applicable to construction.
- Exceptional analytical skills and precision in financial management.
- Excellent organizational, communication, and remote work skills.
- Extreme attention to detail.
- Fluent in English (reading, writing, and speaking).
