Job Purpose The Admission Manager will be responsible for planning, managing, and executing the school's complete admission process from inquiry generation to student enrollment. The role will focus on building strong relationships with parents, providing effective school and program counseling, driving admissions, managing the admissions team, coordinating admission-related activities, and ensuring a smooth and professional experience for prospective parents and students.

The ideal candidate should have strong parent-handling, counseling, communication, relationship management, team leadership, and admission conversion skills, with a good understanding of the K–12 school ecosystem.

Key Responsibilities1. Admission Management

- Manage the complete admission cycle for Pre-Primary to Grade XII.
- Develop and execute admission plans to achieve annual enrollment targets.
- Handle inquiries received through walk-ins, phone calls, website, digital campaigns, references, school events, and other channels.
- Ensure timely follow-up with prospective parents at every stage of the admission funnel.
- Maintain accurate records of inquiries, applications, assessments, admissions, and pending cases.
- Monitor seat availability and admission status grade-wise.

2. Parent & Student Counseling
- Conduct professional counseling sessions with parents and students.
- Explain the school's academic approach, CBSE curriculum, teaching methodology, facilities, co-curricular activities, transportation, fee structure, and other offerings.
- Understand parent expectations and recommend appropriate academic pathways within the school.
- Address parent queries, concerns, and objections effectively.
- Conduct campus/school tours and ensure prospective parents receive a positive experience.
- Build long-term relationships with prospective and existing parents.

3. Admission Conversion
- Drive inquiry-to-application and application-to-admission conversion.
- Develop effective follow-up strategies for high-potential prospects.
- Analyze reasons for lost admissions and recommend corrective actions.
- Maintain a strong admission pipeline throughout the academic session.
- Ensure admissions are achieved without compromising the school's admission policies and standards.
- Track competitor schools, their offerings, fee structures, and admission practices.

4. Admissions Team Management




- Lead and supervise the admission counselors and front-office admission team.
- Allocate inquiries/leads among team members.
- Set daily, weekly, monthly, and annual admission targets.
- Monitor individual team performance and conversion ratios.
- Conduct regular review meetings and provide performance feedback.
- Train the team on parent counseling, communication, school presentation, follow-up, and objection handling.
- Ensure consistent and professional communication with parents across all channels.

5. Lead Generation & School Promotion
- Coordinate with the Marketing/Branding team to generate quality admission inquiries.
- Support and participate in:
- School Open Houses
- Parent Orientation Programs
- Admission Events
- Education Fairs
- Career/School Counseling Events
- Community Outreach Programs
- School Visits and Promotional Activities
- Develop relationships with feeder schools, educational consultants, corporate, residential communities, and relevant local organizations where appropriate.
- Generate admission leads through referrals, parent networks, events, and outreach activities.
- Provide feedback to the marketing team regarding lead quality and campaign effectiveness.

6. Coordination with School Departments
- Coordinate with the Principal, Academic Team, Finance, Administration, Transport, and Front Office for smooth admission processing.
- Coordinate student assessments/interviews with the academic team.
- Ensure admission decisions and documentation are completed within defined timelines.
- Coordinate fee-related information and payment processes with the Finance Department.
- Ensure proper handover of newly admitted students to the relevant academic/administrative teams.

7. Admission Documentation & Compliance
- Ensure all admission forms and required documents are complete and accurate.
- Verify documents as per school policies and applicable CBSE requirements.
- Maintain confidentiality of student and parent information.
- Ensure proper updating of admission records in the school's ERP/CRM.
- Maintain organized documentation for audits and management review.
- Ensure that no admission commitment is made outside approved school policies.

8. MIS & Reporting





Prepare and present regular admission reports to management covering:

- Total inquiries received
- Source-wise inquiries
- Parent counseling conducted
- School visits
- Applications received
- Assessments conducted
- Admissions confirmed
- Inquiry-to-admission conversion
- Grade-wise admissions
- Pending admissions
- Lost inquiries/admissions
- Reason for lost admissions
- Fee collection status
- Lead source performance
- Team-wise performance
- Target vs. achievement

- Achievement of annual admission/enrollment targets
- Enquirer-to-admission conversion rate
- Application-to-admission conversion rate

Educational Qualification
- Bachelor's degree in any discipline.
- MBA/PGDM in Marketing, Business Administration, Education Management, or a related field will be an advantage.

Experience
- 4–8 years of relevant experience in school admissions, educational counseling, business development, or customer relationship management.
- Prior experience in a K–12 school, preferably CBSE, will be strongly preferred.
- Experience managing an admission/counseling team is desirable.
- Candidates with strong experience in premium schools, reputed educational institutions, or education groups will be preferred.
