We are seeking an experienced and highly organized Operations & Team Manager to take ownership of the day-to-day coordination, accountability, and performance of our growing remote team.
This is not an administrative or executive assistant position. We are looking for a strong people and operations manager who has direct experience managing teams and understands how to translate business priorities into transparent actions, responsibilities, and measurable outcomes.
The successful candidate will act as the primary operational link between senior management and a cross-functional team of approximately 15–20 team members working across operations, customer service, marketing, technology, AI and automation, partnerships, and administration.
The objective of this role is straightforward: to keep the team organized, responsive, accountable, and consistently delivering, without senior management needing to individually assign tasks, chase updates, or resolve routine execution issues.

We coordinate executive transportation services across major Canadian cities, including Toronto, Ottawa, Montreal, Calgary, and Vancouver. Through a centralized booking and dispatch model, we support corporate clients, executives, event organizers, and international travellers who expect reliability, professionalism, and exceptional service.
As a growing and evolving organization, we operate with a remote, cross-functional team supporting multiple areas of the business. We are looking for an operational leader who can bring structure, accountability, and consistency to daily execution.
Key Responsibilities
Team Management & Accountability
- Directly manage and coordinate a remote, cross-functional team of approximately 15–20 employees
- Translate management priorities into clear tasks, responsibilities, deadlines, and expected outcomes
- Monitor ongoing work and ensure commitments and deadlines are consistently met
- Follow up with team members and hold them accountable for agreed deliverables
- Conduct regular team check-ins, performance discussions, and follow-ups
- Ensure staff remain responsive and available during designated working hours
- Address missed deadlines, underperformance, and accountability issues professionally and constructively
- Establish and monitor appropriate KPIs, deliverables, and performance expectations
Operations & Project Coordination
- Coordinate projects involving multiple departments and ensure effective handoffs between team members
- Maintain visibility over team activity, priorities, and deliverables through platforms such as Slack, Asana, and other internal tools
- Proactively identify delays, bottlenecks, workload concerns, and communication gaps before they escalate
- Assess workload concerns, delays,
and resource requirements to determine practical solutions
- Reorganize priorities when required to ensure critical business objectives remain on track
- Resolve routine operational issues independently without unnecessarily escalating them to senior management
- Ensure clear ownership and accountability for projects and ongoing responsibilities
Communication & Reporting
- Act as the primary operational link between senior management and team members
- Provide management with concise and structured updates covering completed work, ongoing priorities, delays, risks, blockers, and matters requiring executive decisions
- Ensure effective communication and coordination between departments
- Maintain clarity around responsibilities, deadlines, priorities, and expected outcomes
- Reduce the need for senior management to individually follow up with team members regarding routine execution
Process Improvement & Performance Optimisation
- Continuously identify opportunities to improve team productivity, communication, accountability, and internal processes
- Develop and implement practical workflows to improve coordination across departments
- Identify recurring operational issues and recommend sustainable solutions
- Help build a culture of accountability through clear expectations, consistency, good judgement, and respectful communication
- Monitor team performance and recommend improvements based on operational outcomes
Required Qualifications
- Minimum 3–5 years of experience in team management, operations management, or a closely related leadership position
- Proven experience directly managing teams of at least 10–15 employees
- Experience managing remote or distributed teams is strongly preferred
- Strong preference for candidates who have managed cross-functional teams rather than a single specialized department
- Demonstrated employment stability, ideally including 2+ years in one or more recent management positions
- Excellent spoken and written English communication skills
- Strong interpersonal and leadership skills with the ability to communicate with both authority and professionalism
- Highly organized with strong follow-through and attention to commitments
- Comfortable addressing underperformance, missed deadlines, and accountability issues professionally
- Strong judgement and the ability to distinguish genuine operational challenges from poor execution
- Ability to understand different business functions sufficiently to coordinate specialists effectively
- Comfortable working in a fast-moving entrepreneurial environment where priorities can evolve quickly
- Experience using project management and communication platforms such as Asana, Slack, Google Workspace, or similar tools
Preferred Experience

- Digital or marketing agencies
- Transportation, travel, hospitality, or logistics
- BPO or service operations with cross-functional management responsibilities
The Person We Are Looking For
We are looking for someone who does more than simply pass messages between management and employees.
If a project is delayed, you should be able to understand why it is delayed, what needs to change, who needs to take action, and when the work will be completed.
You should be comfortable making decisions, reorganizing priorities, following up with team members, and solving day-to-day execution problems independently.
At the same time, we do not believe effective management requires unnecessary pressure or micromanagement. The right candidate will know how to build accountability through clear expectations, consistency, sound judgement, and respectful communication.

Working Hours
Monday to Saturday
9:00 AM – 6:00 PM Toronto Time (Eastern Time)
This schedule supports close collaboration with senior leadership, operations teams, and other team members across Canada.
