Job Summary
The Operations Supervisor is responsible for overseeing daily warehouse operations, ensuring safe, efficient, and accurate execution of inbound, outbound, inventory, and value-added services. The role focuses on achieving operational targets, maintaining customer service levels, optimizing manpower utilization, ensuring compliance with safety and quality standards, and driving continuous improvement initiatives.
Key Responsibilities
1.
Operational
Supervision
- Supervise and coordinate daily warehouse operations, including inbound, outbound, inventory, and VAS activities.
- Monitor workforce productivity and ensure adherence to operational plans and customer SLAs.
- Allocate manpower effectively based on workload and operational priorities.
- Ensure daily targets are achieved as per the agreed operational plan.
2.
Inbound Outbound
Management
- Coordinate receiving, unloading, put-away, picking, packing, and dispatch activities.
- Ensure timely processing of customer orders with high accuracy.
- Monitor daily volume trends and adjust resources to meet operational requirements.
- Coordinate with transporters and customers to ensure smooth shipment execution.
3.
Inventory
Management
- Ensure inventory accuracy through cycle counts, stock audits, and reconciliation activities.
- Investigate inventory discrepancies and implement corrective actions.
- Monitor inventory movement and ensure accurate system transactions.
- Support monthly and annual stock-taking activities.
4.
Safety
Compliance
- Ensure strict adherence to warehouse safety policies and procedures.
- Conduct regular safety briefings and toolbox talks.
- Identify and address unsafe conditions and practices immediately.
- Ensure compliance with customer, company, and statutory requirements.
5.
Quality
Management
- Maintain quality standards for storage, handling, and dispatch operations.
- Conduct quality checks and audits to minimize errors and damages.
- Drive corrective and preventive actions for quality-related issues.
6.
Team Management
Development
- Lead, motivate, and manage warehouse associates and team leaders.
- Conduct employee onboarding, training, and skill development programs.
- Monitor attendance, discipline, and workforce performance.
- Provide coaching, feedback, and support continuous improvement of team members.
7.
Productivity Cost
Control
- Track productivity metrics and implement improvement initiatives.
- Optimize manpower deployment and overtime utilization.
- Identify opportunities for cost reduction without affecting service quality.
- Drive Kaizen and Lean initiatives to improve operational efficiency.
8.
Documentation
Reporting
- Maintain accurate operational records and documentation.
- Prepare daily, weekly, and monthly operational reports.
- Track KPIs such as productivity, inventory accuracy, order fulfillment, OTIF, and manpower utilization.
- Escalate operational issues and provide timely status updates to management.
9.
Communication Stakeholder
Management
- Act as the primary point of contact during assigned shifts.
- Coordinate with customers, transporters, vendors, and internal departments.
- Ensure effective communication during shift handovers and operational reviews.
- Participate in customer meetings and provide operational updates when required.
10.
Problem Solving Escalation
Management
- Identify operational bottlenecks and implement immediate corrective actions.
- Handle customer complaints and operational incidents.
- Escalate critical issues to management with recommended solutions.
- Ensure timely closure of action items.
11. 5S Continuous Improvement
- Ensure implementation and sustainability of 5S standards across the warehouse.
- Conduct regular 5S audits and corrective actions.
- Promote Kaizen and continuous improvement culture within the team.
- Drive process standardization and best practices.
12.
Shift Handover
Takeover (HOTO)
- Ensure proper shift handover and takeover process is followed.
- Communicate pending activities, operational challenges, and priority tasks.
- Maintain shift logs and ensure continuity of operations.
Skills Competencies
- Solid leadership and team management skills
- Warehouse Management System (WMS) knowledge

- Planning, scheduling, and resource allocation skills

Qualification Experience
- Graduate/Diploma in Supply Chain, Logistics, Operations, or related field
- 3-6 years of experience in warehouse and logistics operations
- Experience in managing manpower, customer operations, inventory, and warehouse processes
