Position: Front Office Executive

Reports To: Front Office Manager / Hotel Manager

Job Summary

The Front Office Executive is responsible for welcoming guests, handling check-in and check-out, managing reservations, responding to guest requests, and ensuring a smooth and pleasant guest experience throughout their stay.

Key Responsibilities
Greet and welcome guests professionally.
Handle guest check-in and check-out procedures.
Manage room reservations, cancellations, amendments, and walk-in bookings.
Verify guest identification and complete registration procedures.
Allocate rooms and coordinate with housekeeping regarding room status.
Handle guest queries, requests, complaints, and feedback professionally.
Manage telephone calls, WhatsApp messages, emails, and booking enquiries.
Coordinate with housekeeping, maintenance, accounts, and management.
Maintain accurate guest records and front office documents.
Collect room payments and provide bills/receipts as required.
Monitor pending payments and communicate them to management.




Handle OTA bookings such as Booking.com, MakeMyTrip, Goibibo, Agoda, etc.
Ensure all bookings, no-shows, cancellations, and room status are updated correctly in the PMS.
Assist guests with local information, transportation, and other requirements.
Maintain proper cash handling and shift handover records.
Ensure the reception area is clean, organized, and presentable.
Follow hotel SOPs, safety procedures, and guest privacy requirements.
Report maintenance issues and other operational problems immediately.
Prepare daily front office reports as required by management.
Maintain qualified communication and appearance at all times.

Required Skills
Positive communication and interpersonal skills.
Basic computer knowledge.
Knowledge of hotel PMS and OTA platforms is preferred.
Valuable customer service attitude.
Ability to handle complaints calmly and professionally.
