- Road Challan & DDM Preparation
- Prepare road challans, DDMs and related transport documents accurately.
- Verify vehicle number, driver details, cargo, quantity, destination and customer information.
- Ensure challans are prepared within the required operational timeline.
- Port/Dock Documentation
- Coordinate with the Dock/Port Operations Team for vehicle entry, loading and dispatch formalities.
- Ensure all required documents are available before vehicle movement.
- Check validity and correctness of permits, passes and other relevant documents.
- Vehicle Dispatch Coordination
- Coordinate with drivers, transport operators, loading points and the Operations Department.
- Ensure vehicles are dispatched against the correct challan/DDM.
- Monitor pending vehicles and immediately report delays or documentation issues.
- Data Entry & Record Maintenance
- Maintain daily records of challans, DDMs, vehicle movements and dispatches.
- Update computer systems/Excel/Tally or other company records as required.




- Maintain proper filing of duplicate/counterfoil copies of challans and supporting documents.
- Document Verification
- Cross-check challan details against loading documents, weighment slips, orders and dispatch instructions.
- Identify discrepancies in quantity, vehicle number, destination or cargo details before dispatch.
- Escalate discrepancies to the Operations Head/Manager immediately.
- Coordination with Accounts & Operations
- Provide challan/DDM records to the Accounts Department for billing and reconciliation.
- Coordinate with Operations regarding vehicle availability, loading status and dispatch priorities.
- Assist in resolving challan-related issues affecting billing or vehicle movement.
- Daily Reconciliation
- Reconcile challans issued, cancelled, pending and completed on a daily basis.
- Track unused, cancelled or corrected challans.
- Report missing documents or mismatches to the concerned authority.
- Compliance & Accuracy
- Follow SGRL's rules, SO
