We are seeking a Senior Manager - Event Management to lead the planning and execution of high-impact industry events and support operational excellence across the Marketing function. Reporting to the Head of Marketing, this role will work closely with Product Managers across divisions, Business Development teams, Business Unit leaders, Supply Chain Management, Finance, Legal, and external partners.
Objectives of the Role:
1. • Identify and prioritize relevant global and regional industry events aligned with Aragen’s commercial, brand, and business objectives, while maximizing value within approved budgets.
2. • Lead end-to-end planning and execution of conferences, exhibitions, customer events, leadership engagements, and other strategic marketing events.
3. • Partner with divisional Product Managers, Business Development teams, and Business Unit leaders to define objectives, participation plans, stakeholder responsibilities, and desired outcomes for each event.
4. • Manage event vendors, agencies, organizers, negotiations, contracts, logistics, and deliverables to ensure high-quality, cost-effective, and compliant execution.
5. • Drive event measurement, lead tracking, post-event reviews, and ROI reporting to improve future event strategy and commercial impact.
6. • Own and coordinate the purchase requisition and purchase order process for the Marketing team, working with SCM and Finance to support budget planning, vendor onboarding, invoice processing, payment release, and closure.
Scope of the Role:
Event Strategy & Planning:
1. • Create an annual event calendar and participation roadmap in consultation with the Head of Marketing, divisional Product Managers, Business Development teams, and Business Unit leaders.
2. • Evaluate event relevance, audience profile, sponsorship or exhibition options, expected business value, and budget requirements before recommending participation.
3. • Define event objectives, success measures, ownership, timelines, and governance for each initiative.
4. • Maintain a consolidated view of event priorities, budgets, commitments, and dependencies across divisions.
End-to-End Event Execution:
1. • Lead planning and on-ground execution for global and regional conferences, trade shows, customer events, leadership engagements, internal events, and other Marketing-led programs.
2. • Manage registrations, sponsorships, booth design and fabrication, collateral, signage, giveaways, travel coordination inputs, shipping, on-site logistics, and event closure.
3. • Develop detailed project plans, checklists, timelines, and responsibility matrices to ensure timely delivery and stakeholder alignment.
4. • Ensure all event assets and experiences are consistent with Aragen brand guidelines and approved messaging.
5. • Identify execution risks early, develop mitigation plans, and resolve issues promptly.
Stakeholder & Vendor Management:
1. • Work closely with divisional Product Managers, Business Development teams, Business Unit leaders, Marketing colleagues, SCM, Finance, Legal, and other enabling functions.
2. • Lead agency and vendor briefings, quotation reviews, commercial negotiations, scope finalization,
contracting coordination, and performance management.
3. • Maintain transparent and timely communication with internal stakeholders, event organizers, agencies, and vendors throughout the event lifecycle.
4. • Build a reliable partner ecosystem capable of supporting events across geographies and formats.
Marketing PR/PO, Budget & Vendor Payment Operations:
1. • Coordinate the end-to-end purchase requisition (PR) and purchase order (PO) process for the entire Marketing team in partnership with SCM and Finance.
2. • Consolidate planned marketing spends, support budget phasing, and maintain visibility of committed, invoiced, paid, and pending amounts across vendors and initiatives.
3. • Coordinate vendor onboarding, quotation and scope documentation, approvals, PR creation, PO release, goods or service receipt documentation, invoice submission, and payment follow-up.
4. • Validate invoices against approved scope, commercial terms, milestones, and supporting documents before routing them for processing.
5. • Maintain accurate trackers for PRs, POs, invoices, payment due dates, advances, retentions, and closures; proactively escalate delays or documentation gaps.
6. • Partner with Marketing budget owners, SCM, Finance, and vendors to plan and release payments in line with agreed terms and internal controls.
7. • Support periodic budget reviews, accruals, reconciliations, audit requirements, and vendor account closure.
Event Measurement & Continuous Improvement:
1. • Coordinate with Business Development and Marketing teams to track meetings, leads, follow-up actions, and outcomes through Salesforce CRM or approved reporting tools.
2. • Develop post-event reports covering participation, engagement, leads, outcomes, spend, ROI, learnings, and recommendations.
3. • Benchmark event performance and identify opportunities to improve cost efficiency, stakeholder experience, brand impact, and commercial outcomes.
4. • Create repeatable templates, playbooks, and review mechanisms to improve event planning and execution discipline.
Governance, Compliance & Brand Stewardship:
1. • Ensure event activities, vendor engagements, commercial commitments, and payments follow applicable Aragen policies, approval processes, contractual requirements, and legal guidance.
2. • Maintain complete and audit-ready documentation for event decisions, quotations, approvals, contracts, PRs, POs, invoices, and payment records.
3. • Protect Aragen’s brand reputation by ensuring consistent visual identity, professional execution, appropriate claims, and high-quality stakeholder experiences.
Required Skills and Qualifications:
Education:
1. • Bachelor’s degree in Marketing, Communications, Business Administration, Event Management, or a related discipline.
2. • Post-graduate qualification or MBA in Marketing, Business Administration, or a related field is preferred.
Experience:
1. • 5+ years of relevant experience in event management, experiential marketing, or marketing operations,
with demonstrated ownership of complex, multi-stakeholder events.
2. • Experience in the pharmaceutical, biotechnology, life sciences, healthcare, or B2B services sector is preferred.
3. • Proven experience in vendor management, commercial negotiation, event budgeting, and cross-functional coordination.
4. • Hands-on experience managing PR/PO workflows, invoice processing, vendor payments, and budget trackers in partnership with SCM and Finance.
5. • Experience managing international events and working with global stakeholders and vendors is an advantage.
Technical & Functional Skills:
1. • Strong event project management, budgeting, negotiation, and vendor governance capabilities.
2. • Working knowledge of purchase-to-pay processes, including PRs, POs, vendor onboarding, invoice validation, payment follow-up, reconciliation, and audit documentation.
3. • Proficiency in Microsoft Office applications, especially Excel and PowerPoint, and familiarity with enterprise procurement or ERP systems.
4. • Familiarity with Salesforce CRM, event management platforms, and reporting dashboards.
5. • Ability to interpret event and commercial data, measure ROI, and translate insights into recommendations.
Soft Skills:
1. • Excellent planning, organization, and attention to detail, with the ability to manage multiple priorities and deadlines.
2. • Strong stakeholder management, influencing, negotiation, and communication skills.
