Role: Sr Associate- HR

Working Mode: 5 Days, WFO
About the Role:
We are looking for a Senior Associate – HR to manage and support end-to-end Plant HR Operations, Employee Lifecycle Management, Labour Compliance, Contractual Manpower Management, Payroll Coordination, HR MIS and Audit Support at our Pune manufacturing plant.
The ideal candidate should have relevant experience in a plant/manufacturing environment and possess good working knowledge of statutory compliances, contractual manpower, payroll processes and HR operations. The candidate should be comfortable working closely with plant leadership, employees, contractors, payroll vendors, finance and corporate HR teams.
Key Responsibilities:
1. Talent Acquisition & Manpower Planning
- Support manpower planning and hiring as per the approved business plan, TAT and budget.
- Coordinate end-to-end recruitment for plant-level requirements.
- Maintain accurate online/offline records of all open and running positions.
- Coordinate with stakeholders to ensure timely deployment of manpower.
2. Onboarding & Induction
- Complete joining documentation and maintain employee records as per company requirements.
- Ensure all onboarding formalities are completed on the date of joining.
- Conduct/coordinate employee induction and maintain proper induction records.
- Ensure employee documentation is audit-ready and compliant with internal processes.
3. Labour Law & Statutory Compliance
- Monitor and verify monthly PF and ESIC challans against attendance and wage sheets for employees and contractual manpower.
- Ensure timely compliance with applicable EPF, ESIC, Skilled Tax, LWF, Gratuity, Bonus and other statutory requirements.
- Maintain statutory registers including attendance, wages, leave, advances, accidents, inspections, etc.
- Coordinate with internal and external stakeholders to identify and close compliance discrepancies.
- Ensure statutory filings and returns are completed within prescribed timelines.
- Keep updated with applicable state and central labour regulations.
4. Contractual Manpower Management
- Ensure contractual manpower deployment is in accordance with valid agreements and approved requirements.
- Verify contractor licenses and statutory registrations as applicable.
- Monitor contractor compliance with applicable labour laws and statutory returns.
- Verify contractor PF/ESIC compliance against attendance and wage records.
- Ensure accurate and timely submission of contractor data and compliance documents.
- Initiate contractor agreement renewals at least one month before expiry.
- Coordinate with contractors and stakeholders for timely resolution of compliance gaps.
5. Audit & Inspection
- Support internal, external and statutory HR/labour audits at the plant.
- Ensure required HR, payroll, contractor and compliance documents are readily available.
- Coordinate with Corporate HR and other stakeholders during audits and inspections.
- Track audit observations and drive timely closure of identified gaps.
- Maintain proper documentation for audit and compliance purposes.
6. HR Operations, Payroll & Governance
- Support implementation of HR policies, SOPs and processes at the plant.
- Coordinate with payroll teams for accurate and timely payroll inputs.
- Ensure standardization and accuracy of payroll inputs and vendor compliance formats.
- Support preparation, review and updation of HR/payroll SOPs.
- Ensure adherence to internal HR controls and governance processes.
7. HR MIS & Reporting
- Prepare and circulate monthly HR and payroll MIS to Corporate HR.
- Maintain reports covering:
- Headcount
- Payroll cost
- Contractual manpower
- PF/ESIC compliance
- Vendor compliance
- Payroll accuracy
- Statutory compliance status
- Maintain HR dashboards and trackers for effective monitoring.
- Provide HR data and reports required by Finance, Management and Corporate HR.
8. Stakeholder Management & Risk Management
- Coordinate effectively with Plant Leadership, Employees, Contractors, Payroll Vendors, Finance, Corporate HR and Compliance Consultants.
- Identify potential HR/labour compliance risks and ensure timely mitigation.
- Escalate critical compliance issues to the appropriate stakeholders.
- Ensure zero delays in statutory payments and filings.
- Support the organization in minimizing compliance risks, penalties and litigation exposure.
Key Skills & Competencies:
- Strong knowledge of Plant HR / Manufacturing HR Operations
- Good understanding of Labour Laws & Statutory Compliance
- Practical experience in PF, ESIC, Bonus, PT, LWF, Gratuity and related compliances
- Experience in Contract Labour / Contractor Management
- Knowledge of Payroll Inputs and Attendance Management
- Experience in HR MIS, Reporting & Documentation
- Exposure to HR Audits and Statutory Inspections
- Strong stakeholder coordination skills
- Good Excel/MS Office skills
- Ability to maintain accurate records and compliance trackers
- Good problem-solving and follow-up skills
